Executive Assistant to the Director

Job Summary:

This temporary position provides day-to-day administrative support to the Director of the Division of the Arts, including scheduling, assisting with email, and coordinating the flow of information within the Director's office.

Responsibilities: Provides administrative support to leadership in a college or division of the institution in support of unit goals. Utilizes discretion and operates with minimal supervision.
  • 80% Schedules logistics for meetings, conferences, and travel and organizes schedules for a college or division leadership position
  • 5% Compiles, screens, and evaluates correspondence and reports and recommends actions
  • 10% Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • 5% Manages the organization, auditing, security, and confidentiality of records and files
  • Manages the Director's complex calendar and responds to incoming meeting requests.
  • Coordinates the Director's email account by responding to inquiries, rerouting to appropriate staff, or flagging for follow-up from the Director.
  • Compiles and prepares materials for the Director.
  • Records minutes for Director's meetings and staffs committee meetings as requested.

Associate's Degree


- Experience with scheduling, preferably supporting a manager or executive.
- Strong interpersonal skills, including superior verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Proficient software knowledge and expertise, including Microsoft Office, Google Drive, and Zoom.

Work Type:

Part Time: This position is expected to average approximately 20-25 hours per week, but weekly schedule may vary depending on Director's needs and employee availability.

The majority of work can be performed remotely. There may be occasional need to be on-site for in-person attendance/support of meetings and events.

Appointment Type, Duration:

Terminal, 4 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding
