Job Summary

The Associate Director of Operations has the responsibility for providing leadership and oversight for staff in support of the daily operations of a comprehensive student financial aid delivery system. The position provides strategic direction and guidance in promoting a culture of service excellence and leads process improvement initiatives to drive excellence in the delivery of services.
Key Responsibilities
  • Ensure effective and efficient coordination, planning and monitoring of workflow and workload for financial aid eligibility and awarding activities, to meet departmental and institutional goals.
  • Provide Leadership and Management support to the financial aid team through medium- and long-term planning, developing office policy and philosophy, facilitating staff development, mentoring team members, and supervising staff.
  • Provide leadership and direction for a student focused service model - emphasizing Service Excellence in the delivery of services and development of solutions.

Experience and/or training in counseling and interpersonal interaction in providing customer service. Experience in organizing work, establishing procedure for completing work and monitoring workflow and workload. Skill in performing accurately with heavy workload requirements and the ability to use effective time management skills to prioritize tasks to accomplish goals with established time frames. In-depth working knowledge of financial aid programs. In-depth knowledge of financial aid processing systems, applications, and verification procedures. Extensive technical understanding of the use of need analysis in determining financial aid eligibility. Interpersonal skills to establish and maintain cooperative working relationships with staff, faculty, and peers.

Thorough knowledge of online student information systems. Knowledge of financial aid programs, policies and procedures and need analysis formulae. Demonstrated ability to interpret and apply financial aid and academic policies and procedures. Skill to effectively communicate in writing and prepare written materials for clients. Treats all customers (students, faculty, and staff colleagues) with dignity and respect, empathy, fairness, and professionalism, consistent with the university mission, values, and strategic vision. Ensures operational integrity and continuity by maintaining detailed descriptions of responsibilities, ranging from daily tasks to strategic activities and outcomes, and makes them available to supervisor. Ensures quality, usability, and integrity of system data by working within approved processes and testing procedures.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each student and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
  • Equivalent to a bachelor's degree and a minimum of three years of full-time related experience required.
  • Preferred: bachelor's degree & Minimum 5 years financial aid experience. Master's Degree. One to two years of direct supervisory experience.
Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Hiring Range: $6,589 - $7,916 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: $6,589 - $9,884 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.
