Job Description

The ideal candidate is central to the activities that support the Vice Chancellor and Dean of CAFNR (College of Agriculture, Food & Natural Resources) and a key ambassador and face for the VC/Dean’s Office. An energetic, thoughtful, positive and creative team player who is highly organized will excel in this role. The office requires someone who thrives in fast moving, multi-tasking environments, remaining calm and collected while always paying attention to detail. Flexibility is part of a successful skill set, quickly adapting to emerging situations. The successful execution of complex and strategic scheduling and high-level relationship management for a senior executive is expected, using excellent judgment, know-how and understanding when discretion and confidentiality are required. The best candidate will be motivated by a collaborative environment, willing to go the extra mile, working closely with the leadership team to manage information flow and smoothly execute a wide range of daily tasks and broader goals. Embracing change and the deployment of fresh approaches and strategies to execute office administration and oversight will serve this position well.

In addition to providing executive assistance to the VC/Dean, this individual must act as a liaison to students, internal colleagues and external stakeholders, partners and friends to CAFNR, communicating needed information in a timely way. In this capacity the Senior Executive Assistant is the public face of the VC/Dean and must project a professional demeanor consistent with the College’s and VC/Dean’s integrity and values. The position reports directly to the VC/Dean and shares responsibility for ensuring that all aspects of the office are managed professionally, proactively and efficiently in service of the mission of the College of Agriculture, Food and Natural Resources.

Responsibilities include, but are not limited to:
  • Collaborating on sensitive/confidential issues regarding students, potential students, faculty, staff, alumni, internal and external constituents.
  • Serving as liaison between VC/Dean and campus administrative offices as well as outside agencies in state and federal government or private industry and business partners.
  • Coordinating timely response to requests from the Office of the Provost for reports (i.e., instructional workload, post-tenure review, mid-probationary review).
  • Reviewing approval requests: employment letters, hiring requests, requests for the dean as a speaker.
  • Coordinating the annual review of Dean’s administrative team and staff.
  • Managing the dean’s calendar.
  • Attending meetings with the dean (including creating meeting summaries and follow-up action items).
  • Point of contact for CAFNR leadership.
  • Anticipating the VC/Dean’s needs for various commitments and preparing the VC/Dean accordingly.
  • Draft internal and external communications as requested by the VC/Dean.
  • Managing internal and external relationships on behalf of the VC/Dean in a thoughtful, responsive and timely manner.
  • Handling logistics of the dean’s internal and external meetings, creating travel itineraries, booking accommodations, facilities, catering, meals, and reimbursement.
  • Providing staff support to the CAFNR policy committee, including arranging meetings, preparing the agenda in coordination with the chair, taking minutes, posting policies and minutes to the college website.
  • Coordinating CAFNR faculty elections for campus and college committees and maintaining official election and committee records in collaboration with the Sr. Associate Dean and policy committee chair.
  • Coordinating the faculty promotion and tenure process in the college along with the Sr. Assoc. Dean of Academic Programs.
  • Working with CAFNR administrative team to ensure the VC/Dean has all necessary briefings and materials in advance of meetings and events.
  • Handling administrative duties including phone calls, email and paper correspondence, document preparation, reviewing and editing internal and external communications.
  • Addressing in a timely manner the dean’s OneCard transaction log and receipts, as well as other business transactions (contracts, etc) in accordance with university policies.
  • Reviewing CAFNR invitations and constituent lists for disposition and retention, in consultation with CAFNR Advancement and other Dean’s office staff.
  • Working with Dean’s Office staff members to maintain the electronic filing system and manage document flow to and from the VC/Dean.
  • Supervising Dean’s Office support staff.
  • Ensuring staff coverage in the VC/Dean’s Office.
Shift

8:00 A.M. - 5:00 P.M. Monday - Friday.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

  • Compliance: Knowledge of and adherence to CAFNR and university policies, rules and regulations.
  • Computer Software Knowledge: Must be proficient with Microsoft Office products including Outlook, Word, Excel, and PowerPoint.
Anticipated Hiring Range

Salary Range: $50,367 - $70,880

Grade: GGS-10
