Position Description Summary/Purpose :

The Registration Specialist & School Certifying Official is responsible for certifying veterans who request to use their military benefits to fund their education. In addition, this staff member collaborates with the Veteran’s Affairs Office to ensure student needs are met, serving as the liaison for all matters related to registration and enrollment.

Essential Job Functions/Primary Responsibilities :

  • Apply knowledge of VA regulations for certifying educational benefits.
  • Attend required annual trainings with the Veterans Administration to stay current with regulatory changes.
  • Collaborate with financial aid and the business office to effectively support veteran students.
  • Keep accurate records and present them to auditors as needed.
  • Serves at the primary point of contact for the Veterans Administration regarding any audits, including scheduling, documentation/evidence, and follow-up.
  • Partners with the Registrar on degree audits including, but not limited to, creating audits, course substitutions, and certifying graduates.
  • Supports the Registrar’s Office with graduation activities including commencement.
  • Perform other tasks as requested by the Registrar.
Other Functions :
  • Performs similar or related work as departmental needs arise.
  • Continues professional development and training; keeps current with trends.
  • Cross-trains in essential student information system functions including transfer credit evaluation, course schedule creation, and other student record items.
  • Maintain FERPA training certification and support training for staff/faculty.
Knowledge, Ability and Skill :
  • Ability to prioritize tasks and remain organized in a fast-paced environment.
  • Excellent written and oral communication skills.
  • Ability to work independently, collaboratively, and under tight deadlines.
  • Ability to maintain confidentiality of student records and related documents.
  • Proficiency in Excel, Word, and student information systems (e.g., Colleague, Banner).


Minimum Required Qualifications :
  • Bachelor’s degree
  • Minimum 2 years of experience in higher education or a closely-related field
