The Program Coordinator provides advanced support and coordination for all Programs housed within the Marlboro Institute. Produces a variety of documents, reports and proposals, responds to inquiries and provides detailed information to constituents. Organizes and maintains files and databases; designs and updates applications or other forms for data entry. May assist in updating website and posting social media material. Participates in development of program or project marketing and communications materials, coordinates logistics for meetings and events including travel and arrangements for speakers, provides research assistance, and monitors budgets. Provides support to the faculty directors of the Honors Program and the Emerson Prison Initiative, as well as administrative support for the faculty leadership positions (Director of Faculty Development; Director of Curriculum and Administration

Key Responsibilities:
  • Support processes related to the new Marlboro IDS Major, processes that are themselves evolving.
  • Support process related to the sunsetting of the Individually Designed Interdisciplinary Program (IDIP) over the next two years and transition to the new Marlboro Interdisciplinary Studies major:
  • Support the IDS application and revision processes (~20 applications in each student's sophomore year and about the same number expected of revisions in junior and senior years).
  • Assist with communication and record management for degree audits.
  • Coordination of events with program or event owners (welcome, orientation, graduation, student showcases).
  • Provide administrative assistance to faculty working in processes related to grants and prizes, assignment of oral examiners, and Reader/Viewer assignments.
  • Participates in the creation and updating of promotional materials for the Department and website and social media platforms.
  • Works with the Associate Director and the Director of Curriculum and Administration in all aspects of course scheduling and staffing each semester.
  • Manage and maintain administrative records on all affiliated faculty.
  • Conduct research projects designated by the Dean.
    • May initiate purchase of material and supplies for program/project
    • Coordinate marketing and advertising efforts for program/project
    • Assist in writing, editing and designing applications, flyers and other promotional literature
    • Assist in updating website and posting social media material
    • Conduct internet research and gather information and data
    • Organize and draft reports on results
    • Track program/project spending; review budget with manager and make recommendations for purchases or cost saving and execute financial transactions
  • Monitor course registration issues.
  • Coordinate curricular change workflow and paperwork.


Other Responsibilities:
  • Produce a variety of documents, reports, proposals or literature
  • Respond to inquiries and provides information to students, faculty, staff and other constituents; research and resolve problems or concerns
  • Organize and maintain program/project files and databases; design and update applications and other forms for data entry
  • Coordinate logistics for meetings, seminars, lectures and other special events. Plan dates, design invitations, determine venue and coordinate production of materials, audio visual and other set up needs
  • Assist in planning events including identifying topics, activities, speakers, intended audience, etc.
  • Make travel, payment and other arrangements for speakers and presenters
  • Provide guidance and work direction to student and temporary workers and assists in training other support staff
  • All other duties as assigned


Qualifications:
  • B.A. (any field) or equivalent experience
  • 2-4 years of experience in higher education with progression of responsibilities.
  • Intermediate knowledge of higher education administration.
  • Demonstrated ability to support a team in the execution of complex processes.
  • Detail orientation and conceptual aptitude.
  • Demonstrated ability to support faculty, students and staff through strong communication skills.
  • Ability to work both collaboratively and autonomously with a high level of attention to detail and analysis while maintaining team communication about joint projects

Grade of Position: A15N

Scheduled Weekly Hours: 36.25

Hiring Range: $51,100.00 - $53,600.00

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
