Job Summary:
The Academic Support Specialist provides high-level, essential support to the College of Engineering's (CoE) Associate Dean for Students and Strategic Initiatives. This position manages front-line student academic support, oversees multiple tasks and projects with competing priorities and deadlines, screens and prioritizes communications and opportunities from external and internal constituents, and oversees effective administrative processes. The Academic Support Specialist manages and coordinates assigned calendars, meeting schedules, travel, and correspondence as well as assisting in the execution of projects, initiatives and events related to the running of certain programs, such as Garman Guides, within the College. This position involves frequent student-faculty-parent contact and assistance, and a thorough knowledge of the engineering curricula. This position requires some evening and weekend hours to support student events and some overnight travel for student trips and ongoing professional development opportunities. Above all, the Academic Support Specialist demonstrates the ability to work independently, handle confidential information, work in a fast-paced environment, and pay careful attention to details while managing multiple concurrent tasks and meeting deadlines. This role requires a thorough working knowledge of many University programs, systems, policies, and procedures and how to direct students to information as needed. Position reports to the College of Engineering Associate Dean for Students and Strategic Initiatives.

This is a full-time, 12-month, staff non-exempt position, offering a competitive salary and robust benefits package.

The salary range for the position is $19.74 - $24.67/hour. The offer rate will be based on a review of the candidates credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

Job Duties:
  • Administrative support: Provides administrative support to the CoE Associate Dean for Students and Strategic Initiatives to include, but not limited to, maintaining and providing policy and procedure information as well as editing and updating as appropriate; interacting daily with students, parents, faculty, and staff; answering the telephone; scheduling and coordinating appointments and meetings; providing direction related to the proper completion and handling of student documents; maintaining office files and extensive student records; monitoring budgets; handling mail, maintaining office supplies; prioritizing work to meet deadlines; and assisting with making arrangements for students with disabilities. Handles confidential information with discretion. 30%
  • Customer Service: Facilitates daily front-line interaction with students, faculty, staff, parents, and external constituents. Maintains a thorough knowledge of the Engineering curriculum, policy, and procedure information and communicates this information correctly. Prepares correspondence regarding student academic standing. Maintains advising reference resources for faculty and students of the College of Engineering. 30%
  • Academic Support: Maintain up-to-date statistics for accreditation purposes, gather schedule, catalog, and student handbook information; track student transfers, withdrawals, leave of absence, absence and flexibility requests, etc.; communicate and distribute information to appropriate departments/persons. 10%
  • Meeting/Event Logistics: Assist the CoE Associate Dean for Students and Strategic Initiatives and other CoE staff and faculty in coordinating, scheduling, implementing and communicating student programs and events such as New Student Orientation events, Admissions Day for Accepted Students; Open Houses, Garman Guides, L.E.A.D Engineer planning, and engineering tours for prospective students. Monitor select program budgets as needed.10%
  • Communication: Maintains up-to-date knowledge of University programs, systems, policies, procedures, and course materials; and renews and/or revises publications such as the Handbook for Engineering Students, Moodle pages, etc. to communicate current policies and expectations to the College of Engineering. Communicates regularly with Academic Assistants on all curricular matters that involve the student advising efforts, (e.g., transfer credit approval, curriculum updates, etc.). Assist the college and Academic Assistants with monitoring and updating Bison Compass.10%
  • Student Group Support: Assist advisers of the Society of Women Engineers, the National Society of Black Engineers, the Society for Hispanic Professional Engineers, the Society for Asian Scientists and Engineers, and Out in Science, Technology, Engineering & Math, with travel coordination of the student groups. Support the Engineering Student Board and E-Week. 5%
  • Office Operations: Coordinate and lead the work of a group of student employees, including Engineering Study Spot tutors. Provide backup clerical and administrative assistance for the Dean's Office. 5%
  • Actively contribute to Bucknell's efforts to foster a diverse and inclusive campus community.
  • Perform other duties as assigned.


Minimum Qualifications:
  • Bachelor's Degree in a related field and three years of experience in an administrative/office setting; OR equivalent of seven years of administrative experience OR an equivalent combination of experience and education.
  • The ability to maintain confidential information and files and exercise initiative and good judgment.
  • Must be able to work independently as well as in a team environment.
  • A proactive approach to projects, problem-solving, communication needs, and planning.
  • Strong prioritizing/organizing skills and attention to detail.
  • Ability to perform many tasks concurrently in a highly dynamic workplace, even under conditions of frequent interruption
  • Proficiency in using a computer, with experience in the areas of word processing, spreadsheets, scheduling software, and email
  • Demonstrated ability to positively interact with a wide range of individuals and a commitment to diversity and inclusiveness


Preferred Qualifications:
  • Degree specialty in office management, social psychology, or education (or related field).
  • Prior experience with academic support or student academic affairs.
  • Experience with relevant online systems (e.g., HRIS systems, applicant tracking systems, Moodle, document imaging systems, etc.).
  • Financial and/or budgeting experience in an educational setting.
  • Three or more years experience in a setting with frequent student contact.
  • Experience with WorkDay.
  • Experience supporting upper-level administrators in a dynamic work environment.

Physical Demands:
  • Must be able to occasionally lift and carry up to 25 lbs., with or without accommodation.
  • Must be able to remain in a stationary position for extended periods of time; sit at a computer and use a mouse/keyboard for long periods of time.
  • Must be able to move about the office to access file cabinets and office machinery such as copiers and printers.
  • Must be able to work in a demanding environment with multiple competing deadlines and frequent interruptions.
  • Must be able to travel occasionally, with or without accommodation.
