Job Description

Nevada State University invites applications for the position of Administrative Assistant 3 (AA3). The AA3 will provide support for two Department of Education (DOE) funded Improvement of Postsecondary Education (IPE) grant projects, initially funded for 2023-2026.

The Administrative Assistant 3 position will be located on Nevada State University campus in the School of Nursing (SoN), which serves more than 600 students who are pursuing a Bachelor of Science in Nursing degree. The AA3 will occasionally be scheduled to work at the Betty Engelstad Health & Sciences Building located at College of Southern Nevada (CSN) Henderson providing support for Night Shift Scholar grant activities.

Primary Responsibilities:
  • Budgeting, including reconciliations, record maintenance, creating monthly reports, and monitoring expenditures.
  • Data entry and data maintenance.
  • Assisting with grant reporting requirements.
  • Daily office management-purchasing supplies, taking meeting minutes, and other duties as necessary.
  • Assisting with travel, purchasing, scheduling, and other special projects.
  • Managing student schedules.
  • Assist with planning grant sponsored events, including obtaining the necessary contracts to work with outside vendors.
  • General administrative support - manage calendars, answer phones, troubleshoot issues, process hiring for new hires and re-hires.
  • Work with existing SoN AA support team to ensure operational processes are consistent and ongoing.

Required Qualifications:
  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
  • Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).

Preferred Qualifications:
  • Proficiency using Microsoft Office products such as Word, Excel, PowerPoint, & Outlook.
  • Experience with Workday financial and human resource processing.
  • Knowledge of HIPAA and FERPA regulations
  • Excellent communication skills.
  • Strong organizational and planning skills.
  • Ability to multi-task.

Salary & Benefits

Budgeted salary for this position is $41,634.72. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees' Retirement System of Nevada. The plan requires employees to withhold 17.5% of the budgeted salary toward retirement with an equal employer match of 17.5%. No relocation assistance is provided for this position. Position is contingent upon duration of grant and possible extension of funding.

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm. Occasional evening and weekend hours may be required to support grant activities.
