Position Summary: Washburn University Institute of Technology (Washburn Tech) is committed to a model of Intrusive Academic Advising to promote student success. The Assistant Director of Academic Advising provides guidance and assistance for students by recommending programs, planning schedules, and determining appropriate educational solutions for postsecondary and high school students. The position serves as the team leader and supervisor for the Academic Advisors at Washburn Tech. The Assistant Director serves as an advisor to a group of Washburn Tech programs while also managing the day-to-day operations of the Washburn Tech Advising Office. This includes managing advisor assignments in the appropriate software programs, enrollment processes, and data collection and reporting. The Assistant Director also serves as the primary liaison with partner school districts regarding academic matters related to program choice, enrollment, progression, and graduation.

Essential Functions:
• Supervises a team of Academic Advisors at Washburn Tech, providing daily oversight, guidance, and evaluation.
• Coordinates advising workshops and informational sessions for high school principals and counselors, as well as at New Student Orientation.

• Along with other members of the Center for Student Success and Retention (CSSR), provides instructor training on student success approaches, processes, and systems.

• Coordinates the enrollment and re-enrollment process with Washburn Tech Recruiting and Admissions, Registrar Services, Instructional Administration, the Director of Academic Advising, and the Associate Dean of Student Success.

• Manages the roster check/verification process and assists Advisors and Admissions in filling program vacancies.

• Manages the process of collecting program rosters and attendance and reporting accurate data on students to the high school counselors, principals, and the KDHE.

• Implements retention and advisement plans at the high school and postsecondary level in consultation with the Director of Academic Advising and Associate Dean of Student Success.

• Serves as the primary liaison between the advising operations at Washburn Tech and Washburn University.

• Serves as the primary liaison between Washburn Tech and partner high schools to collaborate on academic matters related to students’ program choice, enrollment, attendance, progression, and graduation.

• Along with the Director of Academic Advising, provides training for Advisors (new and current) to facilitate their professional growth and development.

• Manages a caseload of high school and postsecondary students assigned to specific programs. Meets with current, prospective, transfer, returning, and at-risk (i.e. probationary) students and/or their parents to provide academic advising relative to their academic program or pathway, holistic student development, course scheduling, and other areas of educational counseling.

• Forms effective relationships with program instructors and Assistant Deans to facilitate student success.

• Effectively uses the appropriate software program(s) (currently Navigate Student Success Software) to manage a caseload of students, conduct proactive outreach and follow up on performance concerns, and refer students to appropriate resources.

• Attends professional workshops, trainings, and conferences to update knowledge and techniques related to advising, retaining, and graduating students.

• Assistant Director is an active member of internal Unit teams, CSSR, and Washburn Tech Committees.

• Performs additional job-related duties as assigned or as appropriate.

Required Qualifications:
• Master’s degree
• At least one year of experience in academic advising
• Demonstrated effective interpersonal and communication skills.
• Ability to work successfully independently and effectively in a collaborative, team environment.
• Demonstrated ability to build and maintain professional relationships with individuals from diverse backgrounds who may possess a broad range of academic skills and goals.
Physical Requirements:
• Some evenings and/or weekends will require the Assistant Director’s participation

Preferred Qualifications:
• Master’s degree in a field relevant to student advising and development
• Bilingual (Spanish)
• Experience in academic advising and/or academic counseling in the technical college environment
• Supervisory experience
