Administrative Assistant to the Dean, College of Engineering and Business

Position Summary:
The Administrative Assistant provides senior level administrative support for the dean of the College of Engineering and Business. This position administers the office operations and performs administrative duties that require initiative, independent judgment, and discretion in support of the College of Engineering and Business. Must be able to support and promote the University's Mission.

ESSENTIAL FUNCTIONS: 1. Composes internal and external communications; gathers and compiles data; and prepares reports requiring discretion and judgment.2. Assists with projects and programming; makes recommendations and draws conclusions.3. Assists with planning, developing, and providing arrangements for events including food services, audio-visual equipment and instructional and/or informational materials.4. Schedules and coordinates the activities of the executive including appointments, conferences and meetings; makes travel arrangements.5. Serves as liaison between department, division and University leaders, community leaders, and public officials, providing authorized information.6. Directs office operations and provides full administrative support for the dean's office.
7. Works closely with human resources and payroll to process compensation for temporary employees and stipends for full-time employees.8. Manages the postings for full-time employees and adjuncts in the college using applicable software. Schedules the onboarding of new employees in collaboration with individual units.9. Processes expenses, stipends, and reviews budgets while providing regular updates to dean and appropriate college leadership.10. Responds to questions related to facilities and provides support for maintenance needs.11. Performs other duties as assigned within the scope, responsibility, and requirements of the position.

SUPERVISORY RESPONSIBILITIES:Reporting to a key executive or senior manager, this position works under limited supervision performing multiple duties requiring independent judgment and may support other professionals. This position assigns and checks work of student aides within the dean's office. Assists in training newly hired secretaries or support staff.

Internal: Has contact with administrators of all levels, faculty, staff and students exchanging information and resolving problems, and responding to requests for service.

External: Has regular contact with alumni, industry, partners and general public, responding to inquiries or arranging meetings and securing information.

Required Qualifications:
Education: Associate degree required; knowledge of university setting is preferred.

Experience: Five years of progressively responsible academic/administrative experience; working knowledge of Microsoft Office products and office equipment. Experience in a college or university environment is preferred.

Skills: Must have excellent verbal, written, proofreading and organizational skills; excellent interpersonal, and customer service skills; the ability to read and comprehend workflow and policy manuals; the ability to manage data with accuracy; the ability to multitask and prioritize responsibilities, seeking direction regarding courses of action when appropriate; the ability to research and compile data; the ability to adapt and utilize available technologies to fulfill essential functions; and the ability to interpret and communicate policy as directed. The assumption is the incumbent will thrive in an environment where they are largely autonomous and proactive.

Preferred Qualifications:
Project management experience.
Experience in higher education settings.Advance Microsoft Excel skills for data analysis with ability to use pivot tables.
