The Research Administration Department is seeking for aGrants Associate who will be a member of the Grants Team in the School of Medicine Office of Research Administration (ORA) and will manage the non-financial aspects of pre-award administration for their assigned Departments/Divisions. This role provides the final institutional review and submission of proposals and award acceptance for federal and non-profit grants and incoming subgrants, ensuring responsiveness to sponsor guidelines and compliance with federal and institutional policies. Reporting to the Associate Director of Grants, the ideal candidate will be a self-motivated, organized, team-oriented person who has strong analytical skills, is attentive to detail, and can excel in a fast-paced, deadline-driven work environment. Specific Duties & Responsibilities:

General/Pre-Award Responsibilities

  • Manage the grants process from proposal submission through closeout for assigned departments/divisions.
  • Assist faculty and departmental staff with use of grant-related electronic submission and award management sites and databases.
  • Remain informed and up-to-date on events, regulations and changes that affect sponsored projects.
  • Interpret guidelines and assist in applying them to specific proposals, awards and issues.
Provide guidance and mentoring to department partners on best practices in pre-award administration.
  • Arrange and conduct specialized and ad-hoc training courses for departments as needed.
  • Subject matter expert for sponsored projects questions.
  • Communicate with faculty and staff to provide instruction, assistance and advice on grant preparation and administration and to request corrections and resolve discrepancies.
  • Work collaboratively within the Office of Research Administration as well as with other central University offices, other academic institutions, and sponsors.
  • Other duties as assigned by supervisor.
  • Post-Award Responsibilities

    • Review, negotiate and accept grant awards and agreements on behalf of the University.
    • Work with compliance offices, Johns Hopkins Technology Ventures, the Office of General Counsel and sponsors to resolve any conflicts regarding award terms and conditions.
    • Request and process certification of human subjects and/or animal approvals from IRB and IACUC offices.
    • Process sponsor prior approval requests and administrative updates, such as relinquishments, carryover, effort reductions, etc.

    Minimum Qualifications (Mandatory):

    • B.A. or B.S. or a minimum of three years’ experience in research administration with some specialized experience in grant administration.
    • Demonstrated understanding of research administration best practices.
    • Must be able to manage multiple priorities with multiple—sometimes tight—deadlines.
    • Proficiency in Microsoft Word, Microsoft Excel, Adobe Acrobat and various institutional, federal and non-federal electronic proposal submission and award management systems:Coeus/FIBI, eRACommons, Grants.gov, ASSIST, proposalCENTRAL, fastlane/Research.gov, etc.
    • Substantial knowledge of federal agency policies, regulations, application requirements and their application to sponsored research.
    • Excellent oral, verbal and written communication skills.

    Preferred Qualifications:

    • Experience developing and conducting trainings on research administration topics.
    • Understanding of Uniform Guidance (2 CFR 200), including cost principles.
    • Familiarity with legal terms and conditions that typically appear in sponsored project agreements that may require negotiation.

    Starting Salary Range: $59,870 - $82,250 annually (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
