Job Summary:

Responsible for CDL Program support, including: interacting with the public and business partners, administration of detailed data, utilizing a variety of online tools, maintaining federally compliant registration processes, and providing ideas for continuous improvement.

Required Qualifications:

Education and Experience: Position requires an Associate’s Degree or a high school diploma plus a minimum of two years’ experience in an administrative capacity.

Knowledge and Skills: Requires basic knowledge of general office practices, procedures, office technology and computer use. Requires proficiency in MS-suite (Word, Excel) and Google-suite (Docs, Sheets, Calendar, Gmail, etc). Attention to detail and accuracy of data entry and proofreading. Requires excellent communication skills, verbally and in writing. Ability to meet timelines, track and complete projects efficiently and effectively.

Abilities: Requires the ability to perform all of the duties of the position efficiently and effectively. Must be able to operate equipment of the position in a safe manner. Must be able to perform duties in a safe manner. Must be able to prioritize and coordinate work to meet tight schedules and timelines. Must be able to communicate with a wide range of contacts in a manner that generates good public relations and reflects positively on the department and college. Must be able to work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities.

Preferred Qualifications:

Experience working in an academic environment preferred, but not required.

Prefer knowledge and understanding of an academic environment (credit or non-credit) or related program development, including general administrative and operation functions. Prefer knowledge of project management tools and web-based applications.

Physical Requirements and Working Conditions:

Position involves periods of extended standing plus light to medium work including stooping, kneeling, and carrying and lifting of light to medium weight materials (10 to 50 pounds). Infrequently required to lift weights in excess of 25 pounds. Requires normal hand-eye and arm, hand, finger dexterity sufficient to operate power and hand tools. Requires good visual acuity.

Essential Duties:

CDL Registration
  • Guide students and business contacts through a detailed prerequisite process, creating clear timelines and due dates.
  • Daily maintenance of student roster in for upcoming classes, sometimes months in advance:
  • track detailed communication with student
  • track prerequisite process completion
  • ensure detailed and timely updates to each student’s information in as the information comes in
  • follow-up with students and or businesses with detailed outline of prerequisite process and deadlines
  • Properly store student information in Google Drive in an established, systematic filing process to ensure FMCSA compliance.
  • Daily / weekly communication with general population and businesses regarding: first contact interest in the program, upcoming training schedule, sharing of program information, first steps for registration and ongoing communication once registration process has begun all the way through final registration and payment.
  • Elevate prerequisite, funding and financial questions and issues to CDL Coordinator in a timely manner.
  • Coordinate student registration with the Registration team for entry into the internal LBCC system (Banner).
  • Create and complete Certificates of Completion.
  • Provide feedback to CDL Coordinator on ideas for process improvement, especially as it relates to metrics and compliance.
  • Checks voicemail each work shift and returns messages in a timely manner. Answers general questions about the program. Refers significant issues to the Coordinator.
  • Support CDL Coordinator with other program-specific tasks, as needed and assigned.
  • Gather program evaluation responses and update Google sheet with data from last class.
  • Highlight feedback that needs to be addressed and share with the CDL Coordinator in a timely manner.
  • Create / update visual of evaluation feedback.
  • Create additional tracking for student data.
Outreach / marketing:
  • Outreach efforts require CDL Coordinator final review / approval:
    • monthly – working with internal marketing staff, update CDL landing page.
    • every term – working with internal marketing staff, update outreach flyers and production schedule page.
  • Keep contacts up-to-date: in contact lists, Constant Contact list, larger data list of businesses.
  • Work with the Coordinator on new ways to conduct outreach and retention efforts for the CDL Program.
Processes / systems:
  • Make updates in to class roster and process maps (and other boards) as needed.
  • Pull and organize data for reporting and metrics as needed.
  • Track funding resources and develop reporting.
  • Provide feedback and suggestions on areas for improvement.

Work is normally performed in an office setting with little or no exposure to health and safety hazards. Substantial time is spent working at a computer. Schedule requires working some evenings with variation during breaks between terms and peak times. May require some early/late hours. Requires travel between LBCC Benton Center; may require travel to other locations within Linn and Benton counties. Must provide own transportation.
