Engagement Specialist

Salary:

Minimum $46,000 ANNUAL (12 months)

Job Summary:

The Engagement Specialist will be responsible for planning and executing a variety of alumni events and initiatives ranging from large scale in-person gatherings to virtual live-streams and volunteer opportunities. This role will help the Wisconsin School of Business build affinity with its network of nearly 50,000 alumni and donors by keeping them informed, connected, and engaged. A successful candidate will have experience with event planning, managing timelines and budgets, and making results-driven decisions.

The Engagement Specialist will report to the Associate Director on our hybrid team working 40% in person and 60% remotely. A successful candidate will be an organized self-starter who can collaborate well with teammates. This role also requires polished communication skills, a knack for creative problem solving, and the ability to manage time effectively.

Primary responsibilities:
- Develops, markets, and implements a range of alumni engagement tactics to achieve stated objectives and tracks alumni engagement metrics and outcomes
- Develops and maintains relationships with a variety of internal and external stakeholders, including alumni, faculty/staff, and vendors
- Manage timelines to ensure successful execution of all aspects of each engagement including venue selection, contract negotiation, marketing material development, coordination with stakeholders, vendor relationships, and logistics
- Manage registration, marketing, and communication for virtual and in-person engagements
- Provide on-site event management as needed (including some nights/weekends and out of state travel), and facilitate the involvement of other staff and volunteers
- Plan event marketing strategies to drive attendance and engagement, including email campaigns, social media promotion and targeted outreach to our alumni population
- Work closely with Associate Director and Alumni Relations Coordinator to ensure marketing is in-line with event strategy and WSB brand
- Collaborate with designer, writer/editor, and project manager on marketing execution.
- Prepare pre- and post-event reports detailing budget, attendance statistics, suggested improvements, etc.
- Use data and feedback to analyze engagement success and determine return on investment

Responsibilities: Executes marketing strategies for alumni programs, organizes events and analyzes data to ensure alumni relations goals are being achieved.
  • 20% Leads the development, production, and dissemination of communication and branding strategies and materials for the unit
  • 70% Plans and leads the implementation of major alumni events, volunteer committees, and activities in alignment with strategic initiatives and objectives
  • 5% Serves as a unit liaison for internal and external stakeholders, answers questions, and provides information about established programs based on set material or standards
  • 5% Identifies data trends, errors, and insufficient data; and reports variances according to established policies and procedures

Education:

Required
Bachelor's Degree
Preferred in business, communications, non-profit management, or related field.

Qualifications:

Required:
- 3+ years of experience with event planning and execution
- Experience managing event marketing and communications
- Experience communicating and building relationships with various stakeholders

Preferred:
- Higher education or nonprofit experience
- Strong organizational, project management skills and attention to detail
- Strong written and verbal communication skills with comfort public speaking and presenting to both in-person and video (i.e, Zoom, Teams) audiences
- Excellent customer service and interpersonal skills
- Experience working with data to report impact and inform decision making

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
