Assistant Director of Space Planning & Management

About the Opportunity

Summary

The Assistant Director of Space Planning & Management is a central position within the College of Science (COS), ensuring that College-managed offices, laboratories, teaching spaces, and support areas are designed, built, and operated in a safe, effective, and sustainable manner.

Reporting to the Director of Space Planning & Operations, the Assistant Director of Space Planning & Management will be responsible for understanding the unique and dynamic space needs of COS and helping manage the resources required for the acquisition, upkeep, renovations, and safe operations of that space. The Assistant Director will be a key liaison between COS and key university partner offices including Planning, Real Estate, and Facilities (PREF). The Assistant Director will be expected to monitor and oversee renovation projects, and update and analyze COS space usage. Collaborating with the Lab Operations and Safety Manager, the Assistant Director will also support safety initiatives and operations across COS.

Responsibilities

Project Management
  • With the Director of Space Planning & Operations, the Assistant Director will act as the COS representative for relocations, renovations, or other space-related projects.
  • Regularly attends all appropriate project meetings, including on-site walkthroughs, weekly status meetings, and/or calling for additional ad hoc conversations as needed to coordinate critical details.
  • Ensures COS' best interests are represented and pursued by partnering with COS end-users, campus planners, design teams, facility representatives, and contractors from the initial planning to successful completion of a project.
  • Prepares, maintains, or otherwise monitors key project reports including budget tracking and schedule.


Space Planning
  • With the Director of Space Planning & Operations, the Assistant Director will be responsible for identifying, assessing, validating, and planning for COS space needs, particularly faculty laboratory and pedagogical spaces.
  • Proactively remains current on common lab needs, uses, equipment, and configurations for the purpose of being an informed, knowledgeable, and collaborative partner for researchers and educators using University space.
  • Collaborates closely with the Director of Space Planning & Operations, as well as various campus stakeholders, to understand the ‘pipeline' of incoming needs and successfully advocate for COS needs.


Data Management & Analysis
  • Partnering with various key collaborators (including COS departmental staff), the Assistant Director will lead the upkeep and maintenance of COS' space data in Northeastern University's space management database - Archibus.
  • Provides custom reports and analysis into COS spaces, utilization, research productivity, or related metrics as requested by COS leadership.


Shared Lab and Equipment Management
  • In partnership with the Director of Space Planning & Operations, the Lab Operations & Safety Manager, and faculty/researcher leadership, the Assistant Director will be responsible for ensuring shared research facilities and equipment within COS are operated in a safe and sustainable manner.


Qualifications
  • Bachelor's degree required in lab-based scientific discipline, similar engineering discipline, architecture, or closely related field.
  • A minimum of four years professional work experience in facilities, construction, or project management required.
  • Demonstrated skill working in scientific, academic, or research space planning strongly preferred.
  • Strong verbal, written, and graphic communication skills and an understanding of a higher education environment, experience being diplomatic and direct as needed, and interest in working in a fast-paced environment while managing a varied workload.
  • Proficiency in Microsoft Office products and Adobe Creative Suite as well as experience with space management databases (Archibus, FM: Systems) preferred.
