Program Specialist, Community Outreach - Student Affairs (Fixed Term for 3 years)

New York University Abu Dhabi (NYUAD) seeks to appoint a Program Specialist, Community Outreach reporting to the Head of Community Outreach, Student Affairs.

The Community Outreach Program Specialist plays an essential role in managing and delivering community outreach programs that engage NYUAD students with Abu Dhabi's diverse communities. They develop and refine community partnerships and co-create outreach and educational opportunities that help students learn about the UAE's culture, history, and traditions.

The Community Outreach Program Specialist leads the coordination of signature annual events and evaluates outreach volunteering opportunities. They are responsible for managing program delivery and logistics, ensuring seamless coordination with various stakeholders, such as vendors, exhibitors, and NYUAD departments, and ensuring compliance with UAE law and NYUAD policies. In addition, they lead training for these programs as needed. The Specialist works closely with faculty, staff, and students to share information on the department's programs and upcoming events and represents the department at various NYUAD committees. They also develop and execute communication and marketing strategies to increase engagement and awareness of NYUAD's civic and social responsibility contributions to the UAE.

Key Responsibilities:

Program Development and Management
  • Create detailed project plans for all signature large-scale annual events (ex: The Great Nurdle Hunt), outlining timelines, milestones, and deliverables, and ensure that all deadlines are met
  • Work closely with other departments at NYUAD to secure necessary resources (e.g. facilities, equipment, supplies) for each event, and ensure that all resources are available on time
  • Recruit and manage a team of volunteers to assist with each signature event, and provide training and support to ensure that they are equipped to handle their roles
  • Develop and implement strategies to promote each event, including outreach to target audiences, social media campaigns, and media relations
  • Collaborate with external partners (e.g. Jumeirah Saadiyat) to ensure that each event aligns with their goals and objectives, and to secure their support and participation
  • Conduct post-event evaluations to assess the success of each event, identify areas for improvement, and gather feedback from stakeholders
  • Continuously identify and research new event ideas and trends, and recommend new signature events that align with the goals and objectives of the Community Outreach department
  • Develop and maintain positive relationships with external partners and vendors, ensuring compliance with university policies and procedures, as well as local laws and regulations
Student Capacity (First Year Kashtah)
  • Collaborate with the Student Life department to annually plan the three cultural and service outing themes (Desert, Sea, and Mountain) for first-year students in the fall and spring semesters
  • Develop and manage a budget for the outings and ensure proper allocation of funds
  • Train Weyak (First Year) facilitators to ensure that each outing is culturally appropriate and respectful
  • Develop a detailed schedule and itinerary for each outing, including transportation arrangements and site visits
  • Coordinate with local organizations and community partners to secure volunteer opportunities and cultural activities that align with the themes of the outings
  • Recruit and train student leaders (Weyak) and First Year volunteers prior to each outing
  • Manage communication with students and leaders regarding the outings, including providing pre-trip information and post-trip feedback
  • Develop an evaluation process to assess the impact of the outings on the participating students and the community partners involved and prepare a report to share with the Head of Community Outreach
  • Make adjustments and improvements to the outings based on feedback and evaluation results
Communication
  • Assist with seamless communication between the department and the NYUAD community engagement stakeholders to support university-wide interdisciplinary outreach
  • Develop and execute communication plans for specific events and programs, including targeted email campaigns and social media messaging
  • Create and manage the production of promotional materials, including flyers, posters, and brochures, to raise awareness of Community Outreach initiatives and programs
  • Serve as a liaison between Community Outreach and other university departments to coordinate messaging and ensure consistency of branding
  • Develop and distribute newsletters or other communications to keep stakeholders informed of Community Outreach events, initiatives, and accomplishments
  • Coordinate media coverage of Community Outreach events and programs, working with university communications staff to draft press releases and pitch stories to media outlets
  • Monitor and respond to inquiries on Community Outreach social media channels, ensuring timely and accurate information is provided to interested parties
  • Conduct post-event evaluation and analysis to measure the impact and effectiveness of the event, gather feedback from participants and stakeholders, and make recommendations for improvement
  • Collaborate with other university departments and stakeholders to promote and leverage the event to achieve wider institutional goals, such as community engagement, diversity and inclusion, and student learning outcomes
  • Strategically identify engaging content for the Community Outreach Newsletter
  • Create and maintain relevant documentation and communication materials, such as event briefs, marketing materials, and website content
Outreach Program Development and Implementation
  • Identify and participate in volunteering opportunities at key events in Abu Dhabi (to participate alongside other University students) that align with institutional goals and priorities
  • Recruit, train, and supervise student volunteers to participate in outreach volunteering events or programs
  • Ensure all logistics and operational aspects of the events are planned and executed seamlessly, such as volunteer recruitment and registration, event setup and breakdown, catering and transportation arrangements, and risk management
  • Support the development of learning outcomes for outreach programs and initiatives, implementing both quantitative and qualitative assessment for program enhancement, and developing protocols, manuals and training materials as needed
  • Analyze, recommend, and implement improvements to outreach programming to benefit student personal development and community impact


Required Education:
  • Bachelor’s Degree
Required Experience:
  • Minimum 2 years experience in higher education, community development or related field
  • Proven track record in working with community entities, building new partnerships and managing multiple collaborators, particularly within the UAE context
  • Excellent organization, presentation, written communication, and interpersonal skills
  • Awareness of and interest in UAE cultural landscape and heritage
  • Strong organizational skills to manage multiple tasks, deadlines, and responsibilities effectively
  • Strong verbal and written communication skills
  • Knowledge of how effectively collaborate with various stakeholders
Preferred Experience:
  • Higher Education experience
  • Fluency with Arabic
