The Leeds School of Business is encouraging applications for an Associate Director of Administration! Reporting to the Associate Dean of Administration and Finance, this position works with the Dean's Cabinet on key critical initiatives, from development through successful execution, and assists and communicates with the Dean’s Cabinet in decision-making, project management, and initiative implementation. This position also supervises the assistants to the Dean and ensures all administrative and operational functions for the Office of the Dean are completed flawlessly.

What Your Key Responsibilities Will Be

Coordination of the Portfolio of the Office of the Dean
  • Assist and support the Associate Dean in relationship management with key internal and external partners to ensure the smooth functioning and integration of the administrative team that supports the Office of the Dean in these efforts.
  • Coordinate ad hoc data collection and reporting.
  • Assist with initiatives to improve efficiencies and effective functioning of the office.
  • Coordinate with institutional offices and staff to assess tactical issues and implement solutions.
  • Organize and coordinate short and long-term projects within the portfolio.
Strategic Planning Administrator
  • Under the guidance of senior leadership, be responsible for the administration of the Leeds strategic plan, from development through successful execution and continuous review.
  • Schedule project achievements for the strategic plan as well as assign the corresponding responsibilities and tasks.
  • Coordinate and monitor the strategic plan objectives and results, as well as the associated due dates. Periodically conduct risk assessment.
Administrative Management
  • Review the Dean's critical correspondence for appropriate distribution and response; provide a coordinating role in assembling complex responses that cross multiple areas of responsibility at the university.
  • Responsible for operational aspects and day-to-day management, for example, the Reception Desks and Welcome Desks, including oversight of the Office Assistants. Supervise all administrative activities and workflow, providing a competent resource for resolving and completing ongoing needs of the Dean's Suite. Ensure effective and professional in-person, telephone, and mail communication with all constituents by desk personnel.
  • Provide management and supervision of the Welcome Desk including Leeds retail operations, ensuring accurate and reliable operating data and financial accounting reports. Responsible for the professional growth and performance of the permanent staff and student employees. Be responsible for the monitoring and management of the administrative, fiscal and academic records and files of the Dean's Office.
  • Support special projects which are ad hoc and widely varied.
Accreditation Support
  • Serve as the project manager for the Leeds School AACSB Accreditation and campus Academic Review and Planning Advisory Committee (ARPAC) processes, working with the faculty project leads; coordinate collection of all information required throughout the process; work with many different units at Leeds to ensure data is being collected and stored appropriately; write and edit report content; work with Leeds Marketing and Communications to develop final reports; coordinate the full visit schedule, travel arrangements, meeting scheduling internally and across the university.
What You Should Know

This position offers a hybrid work modality with at least 3-4 days per week on-site, Monday-Friday, 8:00 am-5:00 pm, plus evenings and weekends as needed for events, conferences and activities.

What We Can Offer

The hiring range for this position is $75,000 - $90,000. Relocation assistance is available for eligible candidates.

What We Require
  • Bachelor’s degree from an accredited institution or equivalent combination of education and experience.
  • Minimum of 2 years of relevant experience including administrative experience and managerial experience.

  • Highly motivated with integrity, tact, discretion, a proven track record, and exceptional organizational skills.
  • Ability to problem-solve and effectively operate within a large, dynamic environment with experience in senior-level administrative management in an academic environment. Experience with strategic planning processes and procedures.
  • Management experience and skill, including the ability to supervise a complex and fast-paced office in a manner that combines speed, precision, and thoroughness.
  • Excellent interpersonal and communications skills with the ability to interact with diverse internal and external constituents. Proven ability to work with high-level business leaders, scholars, alumni, school, and university administrators, faculty, and students.
  • Ability to handle complex, multiple, concurrent tasks including excellent organizational skills and proficiency in prioritizing assignments to complete work accurately and in a timely manner. Anticipate, interpret, and respond to a variety of issues with minimum direction and the highest level of discretion and judgment. Process confidential matters and either resolve or refer questions to appropriate personnel.
  • Initiative and ability to anticipate executive needs for information and support.
  • Demonstrated ability to plan, organize, coordinate, and direct multiple projects and activities with varied timelines, apply sound judgment, and be a strategic problem solver.
  • Ability to work with confidentiality and discretion when handling critical information.
  • Comprehensive and thorough knowledge of English grammar and the ability to compose effective correspondence for editing by the Deans.
  • Proficiency with Microsoft software programs and applications.
  • Promotes creating an inclusive environment to reflect our values and vision at Leeds.
  • Extensive knowledge of budgeting, procurement, and personnel procedures.
What We Would Like You to Have
  • 5 years of administrative experience.
  • 3 years of managerial/supervisory experience.
  • Experience working in a business school.
  • Experience working in an institution of higher education.
