Position Summary

The School of Education at Metropolitan State University of Denver is seeking a detail-oriented, project-management-minded individual to serve as the Grants and Contracts Administrator for the Office of Education Solutions (OES). The OES is an innovative hub of publicly and privately-funded initiatives aimed at addressing urban and rural PreK-12 settings in Colorado and beyond. The Grants and Contracts Administrator will serve as the central, internal point of contact for all externally funded projects, working closely with the OES Executive Director and other OES staff; School of Education (SOE) leadership and staff; Principal Investigators and leads; the Office of Sponsored Research and Projects; Sponsored Projects Accounting and Compliance; the MSU Denver Foundation; faculty; and others to optimize and maintain the infrastructure needed to achieve key objectives supported by external funding. Reporting to the OES Executive Director, the Grants and Contracts Administrator will be a self-starter who is able to work both remotely and on campus, and communicate effectively with faculty and staff across the University.

Responsibilities

Grants and Contracts Management (50%)
  • Serve as project manager and central contact for team members through all stages of external funding processes from conception to completion (pre-award and post-award).
  • Facilitate initial reviews of potential awards to determine management protocols.
  • Facilitate communications between all relevant parties throughout the external funding process. Relevant parties may include faculty; the Office of Education Solutions (OES) and School of Education (SOE) leadership and staff; the Office of Sponsored Research and Projects (OSRP); Sponsored Projects Accounting and Compliance (SPAC); the MSU Denver Foundation; and others.
  • Work with PIs, OES, and OSRP and/or the MSU Denver Foundation to establish and follow uniform management tools, protocols, timelines, and processes for submission of applications.
  • Monitor status of pending proposals, awards, contracts, and deadlines.
  • Document terms of current and potential grants, contracts, and gifts.
  • Provide accurate grants and contracts financial reporting and ensure deadlines are met for private gifts.
  • Ensure necessary documentation for grants, contracts, sub-awards, partnerships, Institutional Review Board, and other requirements.
  • Monitor expenditures for compliance with awards, sub-awards, and contractual requirements.
  • Track and communicate with grants and contracts team about funding expirations and continued funding needs of objectives, to keep SOE Strategic Plan and Diversity, Equity, and Inclusion priorities moving forward.
  • Communicate updates and news from SPAC and OSRP related to grants.
  • Monitor and route Time and Effort reporting per university procedures.
  • Ensure all grant reports are complete and on time.
  • Support PIs in the preparation and submission of reports.
  • Close out awards and sub-awards.
Purchasing and Budget Management (45%)
  • Guide, facilitate, and serve as the central contact in the creation and management of budgets for the life of each award.
  • Coordinate with PIs to ensure plans for work comply with award terms and align with university and school fiscal and administrative processes.
  • Estimate, track, and reconcile personnel and operating expenditures to support PIs in the efficient use of all funds within specific grant years and MSU Denver fiscal years.
  • Collaborate with SOE Financial Analyst and other personnel in the use of established university and school purchasing and tracking procedures.
  • Maintain contextual understanding and practical knowledge of financial and budgeting processes and requirements of MSU Denver and the MSU Denver Foundation.
  • Monitor payroll expenditures.
  • Oversee budgets from public and private sources associated with OES and School of Education projects assigned to you.
  • Conduct purchasing, documentation, and reconciliation of accounts holding funding from public and private sources associated with assigned OES and School of Education projects, in compliance with SOE and MSU Denver policies and procedures.
Other Support (5%)
  • Work with a wide range of colleagues to brainstorm and advocate for increased funding opportunities and supportive infrastructure.
  • Work with Operations, Budget, and Finance team in the School of Education to improve processes and ensure timely and efficient communications, planning, compliance, and reporting.
  • Create and maintain tools to guide and support new and existing PIs, and institutionalize these processes.

Required Qualifications
  • Bachelor’s Degree from an accredited institution
  • Demonstrated experience with project management, as well as administrating budgets for multiple federal, state, and private grants and funded projects
  • Knowledge of state and federal laws and practices related to public and private funding
  • Intermediate level Microsoft Excel skills
  • Previous experience in a position that required strong organizational skills and the ability to prioritize projects and workflow

Preferred Qualifications
  • Experience with grants and contracts administration in higher education
  • Experience with both pre-award and post-award processes
  • 2-3 years of experience with project management as well as administrating budgets for multiple federal, state, and private grants and funded projects
  • Experience with teaching and/or teacher education
  • Experience with contracts and subcontracts administration
  • Experience with financial systems such as Banner, Workday, etc.
  • Experience with databases
  • Demonstrated interest in achieving Diversity, Equity, and Inclusion strategic goals
Work Hours/Type

This is a hybrid position designed to support flexibility with both in-office work, as well as some remote schedules.

Salary for Announcement

The full salary range for this position is $54,900 - $82,400; the anticipated hiring range is $55,000 - $70,000. The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, experience, training, and qualifications.
