JOB SUMMARY:
Serves as Office Manager for the Glenn Department of Civil Engineering. Provides consistent, front-line responses to requests, provides administrative support to the Chair, coordinates complex activities on behalf of the department, oversees personnel and office operations, hiring, coordinates departmental events, and other duties as assigned
JOB DUTIES:
35% - Essential - Executive Assistance: Provides administrative support to the Department Chair. Coordinates the Department Chair's schedule, meetings, and travel. Maintains the department master calendar and approves space requests for department-controlled areas. Provides knowledgeable responses to inquiries from outside the department as well as from faculty, staff, students, and guests. Applies policies and procedures while providing support to all that need assistance.
25% - Essential - Office Oversight: Supports the main office in the absence of the Department Chair. Supervises departmental staff and student workers. Coordinates and prepares evaluations of staff in the department. Maintains records for the department in compliance with University Records and Retention Policy. Monitors and provides support for issues related to employee leave.
20% - Essential - Event Planning: Organizes and coordinates internal and external events. Organize the External Advisory Board, receptions, and other department events in conjunction with area staff. Makes travel arrangements for faculty and guests as required for all events including banquets, receptions, board meetings, faculty interviews, faculty and student travel to conferences and presentations, and others as needed. Provides coordination for other staff and students involved in events.
10% - Essential - Business Support: Approves Byways purchases and payments for the department, grants, and other special projects based on threshold on behalf of department chair. Makes p card purchases. Reviews insurance coverage for vehicles and equipment belonging to the dept and coordinate with financial staff on account payable needs for the department. Provides assistance and support to the undergraduate and graduate programs as needed. Provides support to faculty, post-docs, and graduate teaching assistants for class needs. Coordinate social media posts for the department.
10% - Essential - Departmental Hiring Support: Initiates all faculty and staff hiring for the department. Applies and interprets University policies and procedures for hiring. Maintains files for the department. Serves as liaison with departmental payroll personnel. Serves on faculty and staff search committees, and provides guidance on policies and procedures.
MINIMUM REQUIREMENTS:
Education - A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
PREFERRED REQUIREMENTS:
Education - Bachelor's Degree in business management, public administration, or other related fields.
Work Experience - 5+ years; Relevant experience in Business Management, Public Administration, or Administrative Services
