Overview of Senior Administrative Assistant

Purdue University Northwest is seeking a Senior Administrative Assistant to the Director of Center for Innovation through Visualization and Simulation (CIVS). This position will report to the CIVS Director and supports administration functions that reach the goal of creating innovative solutions in business, industry, and education. The position is responsible for handling various clerical and organizational duties, maintaining records, and assisting with special projects as needed.

CIVS, established in 2009, is a multidisciplinary multi-million funded research center which applies cutting-edge computer simulation and visualization technologies to solve real-world problems with academic, industry, and community partners. With its missions in innovation, application, and education, CIVS is globally recognized for its innovative approaches to developing solutions to complex problems. CIVS has made significant educational and economic impacts, serving as a showcase for PNW and the NWI region, highlighting the region’s commitment to innovation, cutting-edge technologies, collaboration, high-quality work, and real-world problem solving. CIVS houses a nation-wide Steel Manufacture Simulation and Visualization Consortium, formed in 2016, to improve steel manufacturing competitiveness. Recently, CIVS was selected for several multi-million grants including a $10 million the award by the department of energy to lead a national team to develop and demonstrate hydrogen utilization in a reheating furnace for steel industry. CIVS provides a collaborative, conducive, and supportive environment and culture for students and staff to learn and grow technically and professionally.

Duties and Responsibilities of Senior Administrative Assistant
  • Serve as liaison between CIVS and internal departments and external organizations
  • Assist the director in creating, analyzing, and summarizing procedures, marketing, and assessment
  • Schedule appointments and meetings, coordinating departmental calendars
  • Manage CIVS’s news and newsletter, project flyer and other marketing material, social media presence and website content
  • Assist faculty, staff, and student workers in internal PNW processes
  • Ensure timely responses to all internal and external communications
  • Develop, implement, analyze, and revise work processes for effectiveness and efficiency
  • Interpret and respond to inquiries relating to department information, student registration, and program information
  • Maintain supplies through inventory maintenance and purchasing
  • Coordinate and assist with departmental meetings, seminars, and special events

Education of Senior Administrative Assistant
  • Requires a high school diploma/GED; Bachelor’s degree preferred
Experience of Senior Administrative Assistant
  • Minimum four years of administrative support experience, preferably in a higher education setting
Core Competencies of Senior Administrative Assistant
  • Working knowledge of standard office procedures, account management and budget reconciliation
  • Ability to effectively interface with University administrators, external and internal customers, advisory boards, faculty, students, and general University, community, and industry population
  • Excellent verbal and written communication skills
  • Strong organizational and coordinating skills
  • Strong attention to detail and multi-tasking skills
  • Ability to prioritize and give attention to detail and accuracy
  • Able to inspire confidence and cooperation, and function professionally in a team environment with diverse groups
  • Ability to use good judgement in sensitive situations and adapt well to change
  • Demonstrated proficiency with electronic office tools, including email and calendaring, Web-based applications and the Microsoft Office Suite
