  • Previous experience as an administrative assistant or secretary in an academic setting or other professional setting.
  • Experience supervising employees.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills, especially in terms of attention to detail and problem solving.
  • Ability to work in difficult situations, under deadlines, and with interruptions.
  • Ability to multi-task, prioritize workload and exercise appropriate initiative while working.
  • Skills in preparing well-written, grammatically correct, accurate documents and correspondence with strong proofreading skills.
  • Knowledge and demonstrated proficiency in using Microsoft Office. i.e. Word, Excel, Power Point and Outlook.
  • Experience using University software (Banner, CourseLeaf, SAP, GATO, etc)
Preferred Qualifications
  • Knowledge of Texas State University and Academic Affairs polices and Procedures.
  • Previous Texas State University experience working in an academic or administrative environment.
  • Work Independently or in a team.

Job Description

The Administrative Assistant III will be responsible for providing administrative and general clerical support to the Department of Finance & Economics and Texas State students. The Administrative Assistant III is often referred to as the Office Manager who is primary support to the Chair and faculty in providing assistant with administrative, budget and personnel procedures/issues.

Job Duties

The Administrative Assistant III will use independent judgment to organize and prioritize work while working in a team-oriented, fast paced environment. Supervise and assist with the daily operations of the office. Monitor the progress of assignments delegated to the office staff and student employees. Supervise and hire staff and student employees. Create student work schedules. Prepare, collect, process and file personnel paperwork. Serve as the department Time Administrator. Collect, distribute and file the following faculty forms/reports: effort reports, merit evaluations, activity reports, activity plans, applications for development leave, reappointment of untenured faculty and tenure and promotion recommendations. Develop budgets with the Chair for the current fiscal year. Purchase goods/services, process employee reimbursements, and process vendor payments in accordance with university and department policy. Assist the Chair in coordinating arrangements for meetings or special events. Record minutes as needed. Assist in organizing and maintaining department files/ records in accordance with university retention polices. Assist with the monitoring of department inventory. Perform other duties as assigned.
