Job Summary/Basic Function

Job Summary: The Secretary I will be responsible for providing administrative support to Department Chair of Humanities and Department Chair of Communications, Composition, and Languages. Work location will be at Central State University’s Main Campus in Wilberforce OH.

Duties and Responsibilities:
  • Provide support and coordinate daily functions for Department Chair of Humanities and Department Chair of Communications, Composition, and Languages.
  • Provide support to Chairs by coordinating on-campus and online degree programs for students and instructors.
  • Coordinate information and workflow with other university offices, including the Office of the Dean, Registrar, Human Resources, IT, and Academic Affairs.
  • Establish and maintain all department files (hard copy and electronic), and ensure completeness and accuracy.
  • Type, copy, collate, and proofread reports, department minutes, budgets, memos, classroom materials, manuscripts, correspondence, and other materials utilizing Microsoft Office 365.
  • Provide high level of customer service, answer phone calls, greet visitors, and provide information in response to inquiries when possible and refer to other sources if necessary.
  • Assist with maintaining the department websites and social media.
  • Monitor and maintain inventory of office supplies and materials, prepare purchase orders for equipment and materials used by the department, and type and prepare other forms used by the department.
  • Assist the Department Chairs in planning, coordinating, and executing department and college events.
  • Prepare or assist in bulk mailings, sort per postal regulations and complete forms.
  • Collect, open, sort, and distribute mail, prepare responses to routine requests and send and receive faxes.
  • Assist faculty and Chairs to make travel arrangements, arrange itineraries, and process associated paperwork for institutional related travel.
  • Maintain the Department’s Banner and OneDrive files.
  • Assist the Department Chair in class scheduling.
  • Assist with departmental hiring including preparation of Adjunct Contract Letters and Personnel Action Forms (PAFs) in a timely manner as required by the Office of Academic Affairs.
  • Assist Department Chair with clerical duties associated with work-study students.
  • Other duties as assigned.
  • Work schedule: Monday-Friday 8 am-5 pm. Position is an on-site position, with occasional after hours responsibilities.
Minimum Qualifications
  • Education: Associate’s degree required, Bachelor’s Degree preferred
  • Experience: One to three years of secretarial or office manager experience
