The Payroll Specialist is responsible for accurate and timely processing of payroll for exempt and non-exempt staff, faculty, and students. This position involves a working knowledge of payroll policies and procedures. The Payroll Specialist will support the Payroll Manager in payroll audits, quarterly and year-end reporting.

  • Perform accurate and timely processing of bi-weekly and student payroll to completion.
  • Data entry of payroll changes into the University's Colleague payroll processing system.
  • Process all time entry data and review for approvals and accuracy as well as completeness of salary, regular time, over time, leaves of absence, paid time off, retirements, garnishments, retroactive and severance payments.
  • Process federal and state tax payments and file related reports.
  • Processes new employee and existing employee payroll documents timely and accurately.
  • Responds to employee requests for payroll-related information, aid University's employees in payroll matters.
  • Trains employees in the timecard system and related functionality; train University's employees on other payroll-related items as needed.
  • Update payroll processes as needed to remain current.
  • Review and update paid time off balances for accuracy.
  • Assist with the University's payroll system patch testing.
  • Work with other University departments to enable timely and efficient payroll processing of all payroll related items/changes for staff, faculty and students.
  • Work with the Payroll Manager to ensure that all payroll transactions are properly recorded in the general ledger.
  • Maintain working knowledge of university policies and apply them to payroll processes.
  • Serve as back-up to the Payroll Manager for all payroll-related duties.

Performs all other job-related duties as assigned by the supervisor.



  • The incumbent is not substantially exposed to adverse environmental conditions.
  • This is not a remote position.


Minimum Qualifications
  • Associate degree in business, human resources or related work experience
  • 3-5 years demonstrated payroll processing experience
  • Proficient with financial systems, payroll systems, timekeeping systems
  • Proficient with Microsoft Office, especially Excel
  • Demonstrated ability to work independently, and as part of a team
  • Must possess strong analytical and math skills
  • Confidentiality is a must
  • Ability to handle difficult situations with students and staff
  • Ability to communicate effectively to the wide variety of employees served by the payroll office
  • Ability to work with set deadlines for each payroll and tax reporting cycle
Preferred Qualifications
  • Associate degree in accounting or finance
  • Bachelor's degree in accounting or finance
  • Over 3 years of experience working in a business setting
  • Over 3 years of demonstrated payroll processing experience
  • Experience with Colleague payroll processing
  • Experience in a higher education setting
