Job Description

The COBGYN department is one of the key service lines within MUHC and school of medicine, with a dedicated plan to grow the service line. This individual will assist the Director of the department with various duties and leadership oversight to carry out the strategic plan of the department.

Work on special projects and at varying degrees of complexity as defined by the Dep Director. Example of those projects would be to standardize and enhance all operations within the department, to include but not limited to, building routine communication platforms for faculty and staff (newsletter), establishing desk manuals to aide in continuity between staff, partnering with financial lead and Dept Director to build real time productivity and schedule reports, etc.

Work with Dept Director, SOM HR and physician recruiting team to ensure all aspects of recruitment are completed for faculty and staff. This includes replacement positions, scheduling visits, f/u after visits, onboarding if hired, and exiting (for when a faculty or staff leave).

Under direction of the Dept Director, will lead the department’s administrative support staff in specifying, building, standardizing, and optimizing administrative workflows. Will oversee accuracy of Mission-Based Management activity reporting and responsible for the distribution of reports to faculty.

Partner with Credentialing Specialist and Dept Director to assure credentialing processes are followed for new and existing providers. Understand entirety of process to align department timeline with med staff committee review timelines. Act as an advisor to department leadership on feasibility of start date related to full credentialing.

Provide new hire support for staff members and coordinates onboarding needs for providers with division director and practice manager. Work with Dept Director to develop and maintain standard onboarding and exit checklist for faculty and staff.

Assist with position classification questionnaires (PCQ) and staffing requests. Assist the faculty and staff with FMLA and other Leave of Absence forms. Assists and renew U.S. visas for international faculty and staff. Supervise administrative support staff and complete performance reviews. Act as backup support for: Executive Assistant to the Chair, answering office phones and Faculty absence processing and tracking.

Manage the department org charts. Assist with capital asset equipment inventory reporting. Manage space use inventories. Enter, validate, and approve timekeeping and payroll data.

Ensure quality, accuracy, and excellence in own and subordinates’ work.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $56,864 - $104,897 annually
Grade: GGS - 011
