Position Purpose

Manages the Visiting Executive (VE) Program, which brings senior executives to the school to share their expertise in the classroom and meet with students and faculty, and manages the VE student fellows, according to Tuck’s mission, strategy, and institutional priorities. As a member of the MBA Program Office, assists the team with supporting events, administrative tasks, and student services as needed.

Description

The Alan Smith D’52 T’53 Visiting Executive (VE) Program brings up to 100 senior executives annually to the school to share their expertise in the classroom and in small group interactions. These visits give members of the Tuck community the chance to interact with business leaders from different sectors in a variety of settings. Students have the opportunity to meet with visitors during meals, group discussions, and one-on-one conversations. The program manager is integral to the success of each visit and for ensuring an enriching experience for everyone involved. Additionally, each year the program manager selects student fellows and advises the fellows who serve as personal hosts for each visiting executive. Required Qualifications - Education and Yrs Exp

Bachelors plus 3-5 years' experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
  • Experience and skill successfully managing high profile and logistically complex events and conferences involving business executives or other high-ranking officials and event attendees representing multiple constituencies (e.g., students and faculty). Excellent business communication (including the writing and formatting of high-quality newsletters and email announcements), budget and expense management, and hospitality skill
  • Excellent written and oral communication skills, project management skills, organizational skills, and attention to detail
  • Knowledge of higher education administration or professional service business operations gained through a liberal arts education and/or relevant work experience.
  • High degree of discretion in handling confidential materials.
  • Ability to work occasional evening and weekend hours to support events.
  • Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.
  • Able to anticipate, deliver on, and exceed the expectations of students, affiliated faculty, visiting executives, and professional staff colleagues.
  • Able to introduce and drive innovation in ways small and large.
  • Able to collaborate with others as primary means to achieve results.

Key Accountabilities

Description

1. VE Program Management:
  • Plan and execute comprehensive logistical plans for esteemed high-level executives during their visits to campus, ensuring an interactive meaningful engagement. Coordinate all details of the visit including small group interactions with students. Book on-campus rooms, reserve hotel accommodations, order catering, schedule or facilitate AV needs, provide guests with a detailed agenda, and coordinate meetings with members of the Tuck community based on the request of the guest. Communicate with interested parties to meet with the guest including Advancement, the Dean’s Office, the Centers, FYP, and others. Evaluates progress using data analytics, particularly visit statistics and student, faculty, and visiting executive feedback; and updates goals and priorities with direction from MBA program leadership and affiliated faculty. (40%)
  • Manages VE program operations, including budgeting (which includes restricted endowment funding requirements), maintenance of the VE suite, and overall program print, digital, and social media marketing and communications, including writing and disseminating visit announcements, in conjunction with Tuck Communications. (10%)
  • Recruit, interview, hire, and manage a small group of second-year students as host fellows who assist with the visiting executive’s trip to campus. Collaborate with the host fellows to help market and recruit attendees for the small group interactions (10%)
  • Organize the school’s most prestigious flagship speaker series “View from the Top” overseeing all aspects of event planning, execution, and attendee recruiting. (5%)
  • Contributes ideas, input, and support to initiatives, decisions, and communications with implications for the VE program and its connections with other co-curricular, extra-curricular, and alumni engagement initiatives and programs. (5%)

2. MBA Program Office Support:
  • As a member of the MBA Program Office ( MBAPO ) team, provides a high-level of administrative support for campus-wide events and a variety of other administrative projects and tasks, which may include the following: general office support; addressing and resolving walk-in or telephone inquiries from students, staff, and faculty; and assisting in the production of MBAPO monthly newsletter, mailings, and other projects as assigned.
