We are seeking a fully remoteAdministrative Coordinatorwho will be responsible for providing administrative support to the Managing Editor and Editors-in-Chief of the American Journal of Epidemiology and Epidemiologic Reviews. This position requires excellent attention to detail, the ability to keep track of and meet deadlines, and experience with social media. Candidates must be able to effectively prioritize their workload and problem solve using available resources.


Specific Duties & Responsibilities

  • Conduct final reviews of articles before acceptance to confirm all criteria on a checklist are met and track revisions to ensure they are returned in a timely matter.
  • Upload/download publication files to/from the typesetter’s FTP site, maintain records regarding these files, and circulate to appropriate staff members.
  • Create, generate and send out reports from Scholar One/Manuscript Central, our online submission site.
  • Work with our Associate Editors for Social Media to help with the planning and scheduling of social media posts on recent publications and create and post updates based on topics (eg, upcoming special issues) assigned by the Managing Editor.
  • Maintain the rosters of editors for both publications. This includes ensuring that all new editors are set up as independent contractors; facilitating all correspondence between the Editor-in-Chief and members of the editorial board with regard to appointments, expiration of appointments, and promotions; ensuring that the online Editorial Board page for both publications is kept current; notifying the Managing Editor of any necessary changes; and collating the Editorial Board for each issue of Epidemiologic Reviews.
  • Help plan and set up meetings. This includes coordinating the schedules of involved parties to schedule meetings online meetings and sending out invitations and necessary materials; for in-person meetings, it also involves obtaining onsite locations and catering and coordinating travel arrangements for any out-of-state attendees.
  • Take and distribute meticulous meeting notes.
  • Handle all aspects regarding purchasing and reimbursements.
  • Provide other administrative support for the Managing Editor as required.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience with Scholar One or a similar manuscript submission system.
  • Advanced skills in Microsoft Office, especially Excel.
  • Familiarity with medical terminology and the American Medical Association (AMA) Manual of Style (currently in the 11th edition).
  • Experience using Concur.
  • Experience in offsite meeting planning.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
