Purpose: Performs administrative duties in support of the St. Augustine Foundation. Responsible for managing the rentals and maintenance of St. Augustine Foundation properties. Serves as Treasurer/Secretary on the Board of Directors for the Historic St. Augustine Research Institute (HSARI). Performs administrative duties in support of the Institute. Maintains research documents, microfilm, and database on 16th century St. Augustine. br>RESPONSIBILITIES
  • St. Augustine Foundation Responsibilities :
  • Commercial Property Management:
  • Manages/coordinates maintenance and of rental properties, Spanish Garden, and Cuna Street vacant lot.
  • Researches market rents, initiates new leases and renewals for rental properties; manages properties through collection and deposit of rents, parking issues as well as handicap accessibility issues.
  • Coordinates with Foundation attorney for lease disputes and enforcement.
  • Provides rental information /copies of rental agreements to the St. Johns County Appraisers Office for property taxes.
  • Coordinates with HARB and City Building department for necessary project permitting and approvals.
  • Processes bookkeeping activity for the Foundation ; issues payments to vendors, utility companies, and grant recipients.
  • Processes/submits electronic filing of State Sales tax returns on a monthly basis.
  • Meets with the external accountants to reconcile bank accounts, prepare budgets, quarterly and year-end financial and budget performance reports for Foundation Board.
  • Works with external accountants to support preparation of annual IRS form 990PF and address any IRS matters.

  • Manages/reviews insurance policies for Foundation.
  • Coordinates and attends Foundation Board meetings, prepares agenda and supporting material, financial reports, property and tenant reports. and Board minutes.
  • Meets with and/or provides information and/or copies of historic material, documents, and microfilm to independent researchers and Historic St. Augustine Research Institute (HSARI) research associates.
  • Reports on the activities of researchers, archaeologists, and the HSARI to the Foundation Board.
  • Manages public, press and government communications on behalf of the Foundation.
Historic St. Augustine Research Institute (HSARI) Responsibilities :
  • Serves as Treasurer/Secretary for HSARI Board of Directors. Coordinates board meetings, prepares agenda, minutes, and files Annual Business Report (
  • Works with external accountants to support preparation of annual IRS form 990PF .
  • Records and reconciles bank account activity (deposits, issues/signs checks, etc.).
  • Manages/oversees and associates grants, associates luncheon/meeting, and Proctor Award.
  • Manages/oversees and coordinates speaker series; includes creating marketing materials for ads and flyers, and liaise with Flagler College staff for ads and local media.
  • Liaise with Flagler College staff for changes and/or updates to associates bios, recent lectures and events on the HSARI webpage
  • Liaise with Foundation Board on behalf of HSARI


  • Associate’s degree required in Business-related field/Bachelor’s degree preferred
  • Three to five years bookkeeping and general budgeting experience; nonprofit experience preferred
  • Retail property management experience preferred
  • Experience with Computer-based information systems, Quickbooks, Microsoft Office, Email, Excel.
  • High degree of professionalism and ability to communicate effectively with the Foundation board and constituents.
  • Strong interpersonal (verbal and written) communication skills.
  • Decision-making, problem-solving, and analytical skills.
  • Organizational, multi-tasking and prioritizing skills.
