The Opportunity:

Embry-Riddle is now hiring a Senior Administrative Assistant to the College of Engineering (COE) at the Daytona Beach Campus. Reporting to the Senior Associate Dean, the Senior Administrative Assistant is responsible for the following:
  • Serve in a leadership role for all COE department staff, with a focus on staff development for administrative staff. Provide servant leadership (including those without reporting lines to the College level) through collaborative consensus building, cooperation, and collaboration towards shared goals. Coordinate resources and training in a supportive role for all staff in the COE.
  • Provide administrative support for the Senior Associate Dean and other Associate Deans, including but not limited to: schedule and coordinate appointments and travel arrangements, maintain files and records, provide technical support for meetings, make meal arrangements if needed, make purchases, schedule/coordinate visitor activities, process purchase orders, budget transfers, expense reports, and track operating expenses.
  • Support budget transfers, journal entries and other routine fiscal transactions, interfaces with the university budget office. Prepare and submit purchasing requests for the Dean’s office, MicaPlex Projects, and COE purchases. Process transactions on new faculty Startup accounts including equipment, stipends, and student assistant contracts. Meet with faculty to explain Startup funding.
  • Coordinate and process capital equipment purchases for the college (academic and research based), including: interfacing with faculty to obtain required equipment information; interfacing with relevant university offices as needed, prepare required paperwork following university procedure.
  • Coordinate COE events such as Orientation, Preview Day, Faculty Retreats, Academic Awards, Open House, Family Weekend, E-week, Commencement, and secondary support for Industry Advisory Board Meetings. Schedule tours for Lehman Building, Wind Tunnel, EFRC and MicaPlex. Serve as liaison with upper administrative offices and coordinating department activities for the events; communicate event activity plan to Dean, Associate Deans, Department Chairs and Department Administrators; coordinating displays; lab and classroom visits; signage, etc.
Qualifications

Required Qualifications:
  • Associate's degree or completion of program of 18+ months after high school.
  • 10+ years of related administrative work experience.
  • Acts with wisdom and discretion, observing confidentiality and building trust.
  • Works independently and with maturity, making good executive decisions and recognizing when external input is needed.
  • Strong interpersonal skills; ability to handle complex interpersonal interactions with maturity and grace.
  • Mastery of technology tools such as Office 365, Teams, SharePoint, Scheduler, etc.
