Responsibilities:
The Operations Coordinator, 300 Massachusetts Avenue is a critical member of the University Advancement and Advancement Operations teams, providing front-line customer service and serving as the first point for internal and external constituents at our 300 Massachusetts Avenue location. This position is responsible for providing excellent customer service including greeting visitors, handling inquiries, and answering and directing telephone calls. The Coordinator will provide day-to-day operational support including maintaining a welcoming reception area, handling any incoming shipments and deliveries, ordering office supplies and placing work orders as needed to maintain a neat, presentable, and welcoming space This is a critical position to the Advancement office as the Coordinator will be the first point of contact for students, faculty/staff, donors and other visitors to University Advancement at the 300 Massachusetts Avenue location.

The Coordinator is also responsible for the scheduling and booking of meeting and event space at the 300 Massachusetts Avenue location, which includes managing reservation requests, arranging room set-up needs, setting up technology and/or A/V equipment, coordinating internal and external vendors as needed, etc. The Coordinator will update training materials and resource guides to ensure a consistent and quality experience for all 300 Massachusetts Avenue staff and guests. In collaboration with the Operations team, the Coordinator will ensure a consistent level of customer service by recruiting, training, and scheduling a talented team of student employees to staff the building during evening and weekend hours.

The Coordinator will work under minimal supervision and be extremely proactive by foreseeing and implementing projects for the office that will typically be completed at their own discretion. They must have exceptionally strong time management skills.

The Coordinator will also provide administrative support for the Student Engagement and Entrepreneurship & Career Strategy teams, co-located at the 300 Massachusetts Avenue location, as requested. Support includes, but is not limited to: database administration, registration management, event communications, expense reconciliation, post-event tasks, and reporting.

The hours for this position are 8:30 a.m. to 4:30 p.m. and may require occasional weekend work.

Qualifications:
Associate's Degree required, Bachelor's Degree preferred; one to three years of experience working in an office environment, preferably higher education, including one to three years of experience in a customer service role; Must be able to work in a fast-paced environment where out of the box thinking and proactive assistance is highly sought and valued; Strong organizational, communication (written and oral), interpersonal, and computer skills (Microsoft Office including Word, Excel, PowerPoint, and Outlook are required); Extremely detail oriented; High level of self-confidence and enthusiasm; Positive, helpful attitude; Must be an innovative, self-starter and possess a demonstrated ability to be proactive and productive with minimal supervision; Exceptional time management skills are a must; Ability to confidently and diplomatically interact with donors, faculty/staff, vendors, and other visitors is crucial; Demonstrated leadership qualities.
