Job Summary

The Administrative Coordinator provides administrative support to the Associate Dean of EDI, and serves as a welcoming, outward-facing presence for EDI. Serves as principal contact and liaison with departmental or program constituents, faculty and staff, other Universities, and external groups/individuals. The Administrative Coordinator will answer initial queries regarding the EDI team and make timely referrals. This position also supports communication and overall office management related to the department.

The Administrative Coordinator manages the Associate Dean’s calendar and organizes travel for the Associate Dean. The coordinator creates and manages communications to internal colleagues and external constituents (some of which may be sensitive and/or confidential). This position coordinates all meeting materials and logistics for the Associate Dean of EDI, and the EDI team.

This position also provides administrative support to the staff of the EDI team as needed.

Basic Qualifications

3+years of work experience in office administration experience is required preferably in higher education.

Additional Qualifications and Skills

Bachelor’s degree preferred. Prior work experience working with multi-layered interoffice processes preferred. Ability to set priorities, meet deadlines, handle confidential information and act with discretion and tact under pressure. Strong communication and interpersonal skills, organizational abilities and attentiveness to detail are essential. Must be able to work independently and as a team member in a fast-paced, student centered, dynamic environment. Candidates should also demonstrate an interest in engaging with highly motivated college students. Candidates with a strong understanding of the Faculty of Arts and Sciences and Harvard College will be given preference. Advanced computer skills (high level of proficiency with Microsoft Word and Excel required), experience updating web pages, and proven editing, grammar, and proofreading skills

Position Description

Administrative Support and Office Management:

This position coordinates the operations and logistics for the EDI team and the Associate Dean for EDI. This position supports communication and overall office management related to the department, including managing communications to internal colleagues and external constituents (some of which may be sensitive and/or confidential) and answers initial queries regarding the EDI team.

This position coordinates all meeting materials and logistics for the Associate Dean of EDI, and the EDI team. This position also provides administrative support to the staff of the EDI team as needed. Serves as principal contact and liaison with departmental or program constituents, faculty and staff, other Universities, and external groups/individuals.

Communication:
The coordinator supports the work of the office through the use of office email accounts, online platforms, phone communication, and websites. Reviews all office publications including necessary webpage updates: coordinates office communications by identifying times and topics for communication.

Financial Management:

Oversees the financial processes for EDI, processing payments to vendors, individuals and other account payables and receivables. Serves as the office manager (pays bills, purchases office supplies). The coordinator may also support the EDI team’s Assistant Director of Finance and Administration in managing departmental budgets and reconciling University purchasing cards.

Event Planning:

Coordinates logistics (room reservations, catering, audio visual rentals, invitations, posters, etc.) for events and meetings. Must be able to communicate well with other staff, faculty, students and alumni.
