Job Description


Reporting to the Senior Assistant Director of Pre-Enrollment Services, with day to day management by the Senior Associate Director of Recruitment for Bloomfield College of Montclair State University. the Pre-Enrollment Specialist is responsible for the processing of admissions applications including the accuracy of data entry, productivity, and positive communications with prospective students, involving an assigned portion of nearly 125,000 prospect inquiries and approximately 35,000 admissions applications each year. This position is located at Bloomfield College of Montclair State University.

  • Process all admissions applications for the assigned population. Ensure that all application types are processed with great attention to accuracy and timeliness; prepare files for admissions evaluation, review transcripts and other application materials, determine applications as complete and ready for review vs. pending and requiring additional documentation.

  • Complete daily data audit to facilitate data integrity.

  • Serve as the department’s main verifier of state residency requirements for applicants.

  • Assist, as needed, with the processing of all pre-app transcripts, standardized test scores, letters of recommendation, etc. for students within the assigned population.

  • Prioritize and organize workload on a daily basis to keep up with high volume; maintain applicant files within the assigned population.

  • Maintain current knowledge of technology initiatives established for the department in the Undergraduate Admissions Office

  • Develop and maintain a comprehensive understanding of Montclair messaging and offerings in order to best answer application queries for all applications; utilize superior customer service skills, i.e. courteous, timely and correct responses, with regard to student inquiries regarding application status and other basic applicant/pre-applicant inquiries, as well as any questions regarding the services and programs provided by Montclair State University.

  • Conduct outreach to students via phone call, e-mail, and text message to facilitate completion of their application; assist in answering e-mails and phone calls directed to the Office of Admissions.

  • Counsel admitted students on the enrollment process to assist in supporting enrollment goals.

  • Liaise with school counselors and community colleges as needed to ensure receipt of applicants’ academic materials.

  • Assist at large scale recruitment events including but not limited to Open House and Accepted Student Day.

  • Serve as a requisitioner and purchaser for the office.

  • Perform other duties as assigned.

  • Management retains the right to add or change job duties at any time.


  • A Bachelor’s degree from an accredited college or university.

  • A minimum of one year of customer service, admissions or related experience.

  • Demonstrated experience working with data entry and databases.

  • Ability to work with a high degree of accuracy in a fast-paced environment.

  • Excellent written communication skills.

  • Experience with Slate, Colleague, and Workday (Finance, HR, and Student).

  • Fluency in Spanish.
