Position Summary

The administrative assistant III provides complex administrative or operational support to a senior manager or director, of the Bao Lab. This person will be responsible for assisting the PI and the lab manager in managing research expenditures against proposed budget on various projects and provide administrative support for the lab. This person should demonstrate initiative, resourcefulness and problem-solving skills in applying detailed knowledge of responsibilities, functions, and office management. S/He will possess the skillset in prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office.

This position is a part-time role and entails work on Rice University’s campus, with the potential for some remote work/flexible work arrangements.

Requirements
  • HS Diploma or equivalent
  • Five years of related administrative experience in a university setting
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year for year basis may be substituted
  • Skills Required
    • Advanced computer skills and demonstrated experience with office software and email applications
    • Proven success in following through and completing projects
    • Excellent organizational skills and attention to detail
    • Excellent verbal and written communication skills
    • Excellent customer service and interpersonal skills
    • Ability to prioritize, multi-task, and assign work to others
    • Ability to take initiative and ownership of projects
    • Ability to routinely and independently exercise sound judgment in making decisions
Essential Functions
  • Acts on behalf of the Bao Lab to establishing priorities and identifying and resolving problems that are administrative in nature
  • Participates in meetings on supervisor’s behalf, as needed
  • Oversees the coordination of complex conferences, seminars, and events
  • Composes documents for presentations, course handouts, grants, conferences, seminars, and reports; performs substantial research, editing and fact checking
  • Creates complex reports and spreadsheets
  • Makes recommendations based on reports
  • Oversees and processes a variety of complex financial transactions; produces, monitors, and reconciles budget statements; researches, identifies, and resolves discrepancies
  • May assist with capital or special equipment requests and / or vendor selection
  • Performs human resources transactional support and / or faculty affairs support; coordinates or manages the visa process
  • Performs other duties as assigned
