The Opportunity:
The Director of Integrated Enrollment Services oversees the Integrated Enrollment Services (IES) unit to ensure effective processing, automation, integrity, and timely accuracy of all data processed through IES. This position provides leadership and performs necessary functions related to the collection of institutional data for planning, assessment, and decision making by multiple work units at Unity Environmental University.

The Director of Integrated Enrollment Services also facilitates access to information maintained in data information systems to support Unity Environmental University’s operations and while monitoring key institutional indicators. Additionally, this position is responsible for ensuring the integrity of the data/information released in reports or studies to support institutional objectives and external compliance.

This position is responsible for maintenance of the Integrated Enrollment Services Catalog, as well as for the timely execution of services described within the catalog. The Director of Integrated Enrollment Services executes adopted communication channels with various internal and external constituents with a strong focus on institutional priorities. This position reports to the Chief Organizational Effectiveness Officer.

Day to day responsibilities:
  • Provide overall supervision for IES, which is comprised of staff with staggered schedules. Leads regular staff meetings. In conjunction with the Chief Organizational Effectiveness Officer, develops unit goals and objectives.
  • Serve as a database reference for multiple campus information systems, including but not limited to, CRM, IS, and donor software. Updates CRM, IS, and related databases; updates and maintains system files.
  • Support Unity Environmental University's institutional research activities including collecting, analyzing, interpreting, and reporting information for the institution for use in decision making.
  • Work with areas of the institution responsible for data input to improve processes for collecting and inputting accurate data into the information system (IS), customer relationship management (CRM) databases, and related systems as necessary for the purposes of institutional research.
  • Ensures timely posting of content, maintains a master database of completed surveys, and pursues continuous improvement of the Institution's position on external sites.
  • Monitor the overall integrity of data, complying with state and federal requirements and taking appropriate steps to correct data discrepancies when noted.
  • Develop, implement, and document business processes for collecting and linking data from a variety of sources including IS and related systems, state and federal agencies, other higher education institutions, and survey groups.
  • Participate in meetings and engage in institutional work appropriate to the assignment; as well as participating in standing and ad hoc task groups as established by senior leadership, and as assigned.
  • Pro-actively communicate challenges, successes, and failures with leadership.
  • Monitor the flow of information and any backlog, so clearance processes may be developed and instituted.
  • Ensure that all business processes are documented and current. Implement and modify processes to enhance attainment of goals, increase integration, and maximize efficiency.
  • Supervise regular audits of data sources and reporting processes to identify and rectify discrepancies or inconsistencies.
  • Assure that all information is processed according to established time frame standards.
  • Ensure that all constituent processes are within policies established by the institution.
  • Maintain segmented communication plans in the system and create processes for updating and augmenting the plans as needed.
  • Serve as Enterprise Content Management (ECM) System Lead, including implementation and the creation of new electronic forms.
  • Manage and update the Integrated Enrollment Services Catalog ensuring all catalog updates are approved by the Chief Organizational Effectiveness Officer.
  • Periodically review training and professional development needs of staff.
  • Responsible for the work content and outcomes of all staff under their employ.
  • Work directly with leadership for the attainment of annual goals.
  • Ensure delivery of quality, constituent-oriented services to ensure development and implementation of efficient, effective, and integrated policies, procedures, and systems.
  • Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development conferences/courses, and attending training and/or courses as directed.
  • Oversee inbound and outbound phone communication flow with current students within IES to support centralized services.
  • Assure that all information is processed according to established time frame standards.
  • Work units and provide necessary support for the Institution's organizational effectiveness, planning, accreditation, evaluation, and program assessment activities.
  • Work closely with appropriate Institution offices in research and provides the statistical analysis needed for various projects in areas such as enrollment management, curriculum, instruction, and alumni.
  • Work directly with the Chief Organizational Effectiveness Officer to meet Key Performance Indicators (KPIs).
  • Other duties as assigned.

Qualifications

Do you have the skills?
  • Bachelor’s degree
  • 5 or more years or more experience in higher education enrollment services, with at least 3 years of supervisory experience.
  • Personal commitment to the environmental focus and mission of the Institution.
  • Strong critical thinking and data analysis skills.
  • Ability to work in a continually changing environment, as well as the ability to take the initiative to determine best practices, and to implement change.
  • Experience with complex administrative data systems is required.

  • The ability to assimilate and interpret complex data, and sensitivity to issues related to recruitment and retention of a diverse student body.

  • Ability to plan project outcomes and give attention to detail.
  • Ability to work flexible hours to manage an outbound center covering extended operating hours.
  • Ability to develop and implement operating policies and procedures.
  • Ability to function effectively within a matrix organizational structure, maintaining open lines of communication while being discreet, courteous and well poised.
Preferred:
  • Master’s degree preferred.
  • Previous experience in data management and data quality assurance strongly preferred.

Location: Pineland Farms, New Gloucester, Maine
Just a half hour from Portland, Unity Environmental University Headquarters, Unity Environmental University Distance Education, The Technical School for Environmental Professions, and the School of Environmental Business & Sustainable Ventures are based at the Pineland Farms campus. The facilities are within easy access to one of the fastest-growing cities for startups in the country.

Work Schedule:
Work hours are specific to the requirements of this position and can include days, evenings, weekends. Working extended hours may be required as needed and Unity Environmental University employees must be flexible and cooperative in fulfilling their responsibilities while meeting the University’s needs.

Although at Unity Environmental University Enterprise employees are generally scheduled to work at their base location, there are times when travel is necessary and employees are required from time to time to attend events, meetings or work temporary assignment at any Unity Environmental University location.

Physical Demands:
While performing the duties of this job, it is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 20 lbs. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, grasping, and turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications.
