REGISTRAR SUPPORT SPECIALIST



Job Summary:

Provide primary administrative support with a focus on efficiency and excellence in customer service for all Ithaca College stakeholders engaging with the Office of the Registrar as the first point of contact in person, via email, and all other communication channels.

Prepare and maintain records, files, procedures, and documents. Maintain and ensure the integrity and confidentiality of all Ithaca College matters under the Registrar’s purview. Serve as liaison with school administration and a range of constituents and assist with special projects and events as assigned.

Supervision: Reports to registrar

Job Duties:
  • Consistently provide excellent customer service, troubleshoot and problem solve inquiries via any communication channel (phones, US postal mail, email, fax) which may include connecting with a campus partner for their expertise.
  • Assist with registration inquiries; understand technology and curriculum used by students and faculty during registration.
  • Provide direct administrative and operational support for the Office of the Registrar. Including but not limited to, maintenance of academic records, scanning, document indexing, and learning new software.
  • Serve as primary staff member in the reception area to greet and assist visitors.
  • Oversee the distribution of student transcripts as needed in various formats delivered with complete accuracy and in a timely manner including management of Parchment services.
  • Data entry, including but not limited to; demographic information, academic forms (example, SDF, W grades, add/drop processing), holds, emergency contact, and other forms as assigned. All tasks are to be completed and verified for accuracy according to federal and state standards.
  • Prepare enrollment verifications and other documentation as needed by students and alumni including management of requests via the National Student Clearing House.
  • Advance understanding of technology with an ability to adapt to various technology systems as a functional user to assist students, faculty, staff, and alumni. Examples: IC Website (Drupal), Banner, Banner Self-Service, DegreeWorks, Slate, Office 365, Outlook.
  • Attain and maintain familiarity with the provisions of the Family Educational Rights and Privacy Act (FERPA) including serving as a liaison for parents as students transition to Ithaca College.
  • Other duties as assigned.
Qualifications:

High school diploma with 2 years of related experience. Experience in a customer service setting; ability to communicate effectively with a diverse and inclusive community; strong attention to detail, ability to prioritize projects, handle multiple tasks and meet deadlines, while working independently, and as a part of a team are required. Ability to work with multiple technical platforms and adapt quickly to technical changes.

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to use a personal computer and associated equipment as well as other office equipment used in the day-to-day operations. The incumbent may need to deliver various materials on campus requiring the ability to walk or drive or make other travel arrangements. This position requires a fully in-person work schedule on the Ithaca College campus in Ithaca, New York and does not qualify for any remote work.
