Job Description:
Amherst College invites applications for the Early Career Programs Coordinator position. The Early Career Programs Coordinator is a full-time, year-round position, starting at $21.93 per hour. The Early Career Programs Coordinator plays a vital role in supporting signature internships and early career programs in the Loeb Center for Career Exploration and Planning with the goal of expanding available internship opportunities to Amherst students, especially those that identify as First-Generation and/or Low-Income. Specifically, the Early Career Programs Coordinator is responsible for supporting all programming operations, outreach, event planning, and dispersal of internship stipend funds for the Meiklejohn Fellows Program and the Charles Hamilton Houston Internship Program. The Coordinator serves as the Loeb Center's central point of contact for the Shared Services Office, Office of Financial Aid, Office of Donor Relations, and Five Colleges Risk Management in matters related to summer funding, funds management, and stipend allocation. This position reports to the Director of Early Career Exploration and qualifies for a hybrid work arrangement through Amherst College's Remote Work Program.
Summary of Responsibilities:
Houston and Meiklejohn Fellows Programs Administration
- Manage student enrollment processes for Houston and Meiklejohn
Fellows Programs; create and maintain systems to track student
participation and evaluation data related to programs and
activities
- Assist with building and maintaining the online summer
internship funding applications for both programs
- Serve as main point of contact for student applicants,
answering questions regarding application processes, providing
status updates, and notifying of missing materials
- Maintain detailed records and shared drives to organize and
track applications and funding decisions
- Assist summer funding committee with funding decision processes
and communications, including preparing application packets for
reviewers and organizing for review committee meetings
- Track and earmark funding for stipend awards, and provide other
financial support functions, including monitoring program
budgets
- Process and track check requests related to summer internship
funding and track student progress through
- Conduct outreach and follow-up communications with employers
and students
- Distribute and collect reports from student participants of
each program at the end of each summer
- Generate funding reports to share with Amherst Donor Relations
and other stakeholders
Early Career Exploration Team Operations Support
- Coordinate with the Event and Programming Coordinator to ensure
all Early Career Exploration Team events are scheduled and spaces
are booked and set up appropriately
- Coordinate staff and peer mentor coverage of events
- Maintain communications and marketing calendars, and coordinate
communication and marketing activities
- Monitor the Early Career Exploration Team email
inbox
- Provide administrative support to the Director of Early Career
Exploration
- Review student resumes, cover letters, and other internship
application materials as needed during heavy student advising
seasons
Qualifications:
Required
- Associates Degree, or 4 years of experience in lieu of
degree
- 2 years of related experience
- Superior financial administration skills
- Technologically adept including database management skills,
proficiency in Google Suite, particularly Google Sheets
- Highly proficient in all Microsoft Office applications and/or
Google Apps. Ability to adapt to new software and learn and adopt
new computing devices to enhance work assigned
- Experience working and learning within diverse teams, and a
commitment to effectively serving a diverse student
population
- Self-directed, outcome-oriented, and detail-oriented
- Excellent interpersonal, and written and verbal communication
skills
- Demonstrated time management, project management and
organizational skills
- Success working both independently and
collaboratively
Preferred
- Experience supporting internship program or career center
operations
- Experience in a higher education setting
- Experience with Workday, Handshake, and/or SurveyMonkey
