Job Summary/Basic Function:

Wheaton is a leading private, coeducational, liberal arts college of 1800 students located in Norton, MA and within easy commuting distance of Boston and Providence.

The Office of the Provost provides leadership on matters of curriculum, faculty governance, and academic vision and planning. It also sustains the operations of the college under the purview of Academic Affairs. The Manager for Academic Affairs Budget, Finance and Contracts reports directly to the Provost and primarily provides management and oversight of the Academic Affairs budget, collaborates to administer the process for faculty appointments and re-appointments, and oversees the process that generates faculty payroll.

1. Budget Management: Responsible for managing the Provost’s Operational budgets, including Faculty Travel and Research Funds, Start-Up Funds, One-Time Science Equipment Funds, and Summer Research Awards. Responsible for developing faculty budget projections, reviewing departmental budget requests, and collaborating with Finance office to develop projections for various initiatives and projects.
2. Faculty Appointments: Responsible for Faculty Banner records and updates, including ; generating appointment letters and maintaining related records; partnering with HR to coordinate the background check process ( CORI / SORI ); preparing faculty RFH spreadsheets for HR and payroll; managing and updating related faculty spreadsheets; creating and tracking phased retirement agreements, faculty appointment and reappointment; maintaining related records; coordinating with department chairs to execute the appointment/reappointment process..
3. Serves on key faculty and academic committees and any assigned college workgroups (task-force teams as assigned); maintains Wheaton Faculty shared drives, and listservs.

Wheaton has been operating under a remote hybrid model in response to the ongoing COVID -19 pandemic. It is our hope to return to an in-person model for the fall of 2021. While this position may be temporarily remote, there is an expectation that the work performed will be on campus when the college determines it is safe to return to in-person operations.

Minimum Qualifications:

Bachelor’s degree in finance or business related discipline, with a minimum of three to five years of relevant experience in an academic or business environment required.

Must have advanced experience with Microsoft Excel and advanced knowledge of databases and spreadsheets functionality and the abilty to uphold confidentiality with sensitive information. Budget management experience required.

Presents experience serving as the point person and expert source of budget and finance information, with a collaborative and flexible style; able to develop trusting long-term relationships with constituents. Displays an ability to work collaboratively and must be detail-oriented with excellent interpersonal and communication skills, tact and discretion. Must be able to work independently and as part of a team, and balance shifting priorities.

· Working knowledge of academic affairs and related operations.
· Strong organizational skills with the ability to interpret and execute complex academic policies and procedures.
· Decision making, analytical, problem solving, critical thinking, and resource management skills.
· Able to respond promptly and effectively to communications.
· Able to plan for and meet critical deadlines and adapt to new information and situations.
· Strong interpersonal, oral and written communication skills to engage with diverse people, situations and ideas.
· Competency in technical and data manipulation skills with the ability to use systems and software applications including MS Office 365, Adobe, Google Drive suite, Adobe and Banner.
· Awareness of FERPA regulations is required. Must be capable of maintaining confidential information, and performing a wide range of duties that require developing consensus and maintaining a diplomatic manner.

Preferred Qualifications:

Masters degree in business, finance or related field is desired. Equivalent combination of education and experience may be substituted to meet hiring criteria.
