We are seeking anAdministrative
Coordinatorwho will be responsible for the coordination of
a wide range of administrative duties in support of the day-to-day
operation of the I-9 Compliance Team. Work assignments involve
considerable judgment, tact, creativity, and initiative. The
position requires frequent contact with employees at all levels of
the organization and both internal and external customers.
Essential functions include coordinating administrative services
and the facilitation of HR projects, programs, and initiatives.
This position will report directly to the Manager, I-9 Compliance
Services.
Specific Duties & Responsibilities
- Establishes and maintains general office
administrative systems, processes and procedures including
responsibility for the creation, maintenance and archiving and
purging of electronic and paper based departmental files and
records.
- Assists the team with setting up and
coordinating meetings, scheduling appointments and maintaining
calendars and coordinating special events. Proactive in identifying
and resolving scheduling conflicts.
- Orders office supplies and equipment in
accordance with JHU procurement policies and procedures.
Anticipates office supply needs and processes the necessary
purchase orders. Ensures that office supplies are kept organized,
stored and sufficiently stocked.
- Provides administrative support which
includes but is not limited to maintaining and creating files,
charts, graphs, and other presentation materials for the I-9
Compliance Team.
- Responds to general inquiries regarding
university policies and procedures and employment
practices.
- Assist with special projects by collecting,
researching, updating, and analyzing data as well as performing
general project management duties.
- Responsible for processing a wide of variety
reports using Excel and sending correspondence using email mail
merges.
- Research employee/customer requests/issues
and respond appropriately and timely.
- Coordinates all office and space needs,
including scheduling and overseeing routine repairs and
maintenance.
- Responsible for sending requests for SSN
updates on a weekly basis.
- Performs other duties as assigned, including researching materials and information online.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Bachelor’s Degree.
- SAP or ERP experience.

- Working knowledge of federal, state, and local laws and regulations in human resources.
- Organized and results-oriented person who can exercise independent judgement in resolving human resources and payroll issues.
- Ability to work collaboratively with others within and outside human resources.

JHU Equivalency Formula: 30 undergraduate degree credits (semester
hours) or 18 graduate degree credits may substitute for one year of

be applied towards the total minimum education/experience required
for the respective job.
