Opening Details

Williams Libraries is looking for an administrative assistant for the Research Services department. The Research Services Assistant will provide operational support for departmental programs, supervise student assistants, contribute to the department's instruction and outreach activities and participate in the staffing of research help services (online and in person).

The Research Services department supports the academic mission of the college by providing research assistance, teaching information literacy skills, and developing opportunities for academic engagement with students and faculty. We are looking for a colleague who is enthusiastic about supporting this work, who enjoys working on a wide variety of concurrent projects, and thrives in a highly collaborative environment.

This is a fully-benefitted, part-time appointment (10 months, 22.5 hours per week or 9 months, 25 hours per week) reporting to the Head of Research Services and Library Outreach. This is primarily a day-time position, but there are occasional evening/weekend obligations. Work schedule may vary from week to week based on the timing of departmental programs/events.

Responsibilities
  • Support the work of six Research and Instruction Librarians
  • Provide logistical support for departmental programs and events
  • Supervise a team of departmental student assistants
  • Coordinate student assistants training with other library's student supervisors
  • Participate in the staffing the Ask A Librarian service (in-person and online)
  • Contribute to creation of promotional materials to raise awareness about library resources and services

Qualifications

Required:
  • Associate's Degree and relevant experience, or equivalent combination of education/experience
  • Customer service experience
  • Proficiency with or ability to learn cloud-based office applications (word processing, spreadsheets, email, calendars)
  • Project management experience
  • Excellent organizational skills with the ability to prioritize, organize and execute concurrent projects
  • Excellent communication skills (oral and written)
  • Ability to work effectively both as part of a team and independently
  • Ability to interact effectively with people with diverse identities and socio-economic backgrounds
  • Willingness to work flexible hours to fit departmental needs

Preferred:
  • Experience with event planning
  • Proficiency with graphic design (creation of promotional materials)
