The University of Maryland, Baltimore’s (UMB) Department of Physical Therapy and Rehabilitation Science (PTRS) within the School of Medicine has an exciting opportunity for a Contracts and Grants Coordinator OR Contracts and Grants Specialist on our research team. The selected candidate will fill either position commensurate with their education and experience.

 

The Coordinator or Specialist will report to the Administrator and will perform a variety of tasks to support the department’s research needs. This position will serve on the research administrating team, supporting faculty, students, and staff in identifying funding opportunities and processing proposals for those opportunities. This position has significant opportunities for growth within research administration.

 

PTRS currently offers degrees in Doctor of Physical Therapy (DPT), Doctor of Philosophy in Physical Rehabilitation Science (Ph.D.), Dual DPT-PhD, and Dual DPT-Master of Public Health (DPT-MPH). PTRS is dedicated to advancing the profession of rehabilitation through high-quality teaching, research, and excellence in clinical practice. SIGN-ON BONUS OFFERED!

The selected candidate for this position is eligible for a sign-on bonus totaling of $2,000 for Coordinator level and $3,000 for Specialist level. Half of the bonus is payable within the first 30 days of hire and the remaining half is payable after successful completion of a probationary period of 12 months. The sign on bonus is eligible only to candidates new or returning to UMB.

This position works a partially remote schedule. Employees of UMB must be residents of Maryland, the District of Columbia, or one of the states that are contiguous to Maryland: Delaware, Pennsylvania, Virginia, and West Virginia.

 

Essential Functions Coordinator:

  • Follows prescribed application steps to collect and provide the principal investigator (PI) with all application forms and assist in the final preparation of grants and contracts applications or proposals.
  • Assist researchers in interpreting award terms and conditions. Ensure compliance with sponsor requirements, university policies, and federal and state regulations.
  • Coordinate the routing of all proposals and applications in Kuali Research, including budget justifications, bio-sketches, letters of support and performance sites, and other required documents by the sponsor. Assist faculty in preparing close-out checklist documents for submission.
  • Coordinate with the Business Office and Primary Investigator on all financial transactions such as travel, purchasing, and subcontracting.
  • Provides current and historical budget data to project expenditures.
  • Prepare, route, and assist with the submission of No Cost Extensions.
  • Assist researchers with sponsor’s Just-in-Time requests.
  • Maintain and track the department’s planned and pending reports.
  • Coordinate, schedule, and manage notes for Faculty Research meetings.
  • Assist with the coordination of the department's annual Research Day.
  • Attend campus-wide SPA/SPAC and RAC meetings.
  • Assist with Data Safety and Monitoring Boards (DSMB) guidelines and other regulatory specifications.
  • Perform other duties as assigned.  

 

Essential Functions Specialist:

  • Provides contract and grant preparation review to understand requirements for the application process. Prepares guidelines for the submission. Provides the groundwork for the application required documents. Works with management to identify priorities of gathering and processing documents and develops contract requirements containing quantifiable specifications and measurable performance criteria. Review application forms, contract templates, correspondence, and selected agreements for appropriate presentation of compliance information. Develops a timeline to meet submission deadlines and a checklist of required documents. Generates required documents checklist for a grant application.
  • Navigates the Subcontract process through University systems, and provides groundwork to partners to ensure partnership complies with University standards.
  • Collaborates with the principal investigator (PI) and management to develop a project plan by interpreting policy and procedure.
  • Reconciles budget based on approved budget by the sponsor. Provides current and historical budget data to project expenditures and forecast income. Works with staff on identified potential ledger variances.
  • Acts as point of contact and with the Business Office advises PI on all financial transactions, such as travel, purchasing, or subcontracting. Interprets and applies Federal, State, and sponsors guidelines and requirements.
  • Reviews applications for funding and process. Prepares grant and contract budgets and applications in line with University and federal policy.
  • Maintains and tracks required training documents and ensures all parties comply with regulations.
  • Coordinate, schedule, and manage notes for Faculty Research meetings.
  • Assist with the coordination of the department's annual Research Day.
  • Attend campus-wide SPA/SPAC and RAC meetings.
  • Assist with Data Safety and Monitoring Boards (DSMB) guidelines and other regulatory specifications.
  • Performs other duties as assigned.    

 

Minimum Qualifications - Coordinator:

Education: Bachelor's degree.

Experience: One (1) year of directly related accounting, budget, contract, grant, or research administration or coordination.

Other: Financial disclosure reporting required by the State of Maryland Ethics Commission. Related experience may be substituted for education. Completion of a 12-credit Research Administration graduate certificate program can be considered for the equivalent of one (1) year of relevant research administration work experience.

 

Minimum Qualifications - Specialist:

Education: Bachelor's degree.

Experience: Three (3) years of accounting, budget, contract, grant, or research administration experience.

Other: Financial disclosure reporting required by the State of Maryland Ethics Commission. Related experience may be substituted for education. Completion of a 12-credit Research Administration graduate certificate program can be considered for the equivalent of one (1) year of relevant research administration work experience.

 

Knowledge, Skills, and Abilities:

Ability to work in a fast-paced environment. Must possess strong organizational skills, time management, and attention to detail. Ability to work on multiple projects concurrently. Skilled in the effective use of technology tools and systems. Ability to communicate clearly and effectively, in a professional manner, both orally and in writing with a variety of people internal and external to the organization.  

 

Hiring Range:    Coordinator - $55,000 - $59,000

                            Specialist - $66,000 – $75,000
