Executive Assistant to the President

This position provides executive-level administrative support to MSU Denver’s President and serves as a member of the team in the Office of the President. The Executive Assistant to the President will be expected to work with, through and for others, building and maintaining relationships as they closely, accurately, and when necessary, independently, within broadly defined guidelines. The EA works closely and directly with the Chief of Staff in managing the President’s priorities, calendar and scheduling. The EA must be an effective communicator, while being aware of and responsive to the needs and concerns of an array of constituents interacting with the President and who work in the Office of the President. The EA should be friendly and genuinely interested in the business of the University including its 2030 Strategic Plan, as well as understanding and responsive to the needs of others, including the leadership team, faculty & staff, students and internal and external partners of the University. The EA will focus on developing and maintaining diplomatic relationships with University leaders, students and other constituencies. A faster-than-average pace will be the norm for this position and a high attention to detail is critical, as well as work will often need to be handled quickly, correctly, and efficiently with little to no supervision, even when shifting circumstances might demand a reprioritization of tasks. Following up carefully, closely, and cheerfully is required to ensure quality work products are delivered to the President. The EA will frequently communicate on behalf of the President within the scope of completing tasks assigned by the President. This position will regularly provide diplomatic and professional contact with University constituents including: the University Board of Trustees, faculty, staff, department chairs, deans, vice presidents; external College Presidents; federal, state and local government officials; national and local business and non-profit leaders; and external vendors.

Duties/Responsibilities
  • Coordinates and manages a complex and constantly changing calendar of appointments, meetings, social engagements, and University and community functions with individuals and groups in view of presidential priorities. Prepares accompanying briefing materials in advance and in partnership with the Chief of Staff while ensuring the coordination of logistics, reports, and communications for calendared events.
  • Provides leadership to fellow administrative support staff of presidential direct reports to ensure open lines of communication and awareness of presidential activities and engagement for the purpose of synching, briefing materials, support, and situational awareness.
  • Safeguards the confidentiality of university administration by exercising discretion in communication of information to faculty, students, staff and the various publics served by the University and in handling administrative records, file and similar confidential items.
  • Assists the President and Chief of Staff in oversight functions by reviewing correspondence and documents prepared by other offices for the president’s signature.
  • Coordinates the flow of incoming and outgoing communications by receiving, prioritizing, and routing, and/or responding or determining the appropriate responding unit. Maintain exceptional customer service to all constituents including the fielding of phone calls, business emails to the president, parent and student-oriented questions, meeting requests and concerns, and developing responses from the President for her consideration.
  • Manage high-level meeting preparation and executing in partnership with the Chief of Staff. Tasks may include coordinating agenda items, finalizing materials, scheduling presentations, as appropriate, and preparing minutes.
  • Coordinates personal logistics for the President, as assigned, including scheduling personal appointments, ensuring professional and personal events are well-coordinated, and meal reservations are made at appropriate locations & times.
  • Performs records management of a complex filing system including oversight, creating files and records as necessary using judgement and knowledge of office requirements for retention and purge schedules.
  • Coordinate travel arrangements for the President, ensuring appropriate travel vendors are utilized, given the applicable fiscal rules. Manage reimbursements associated with business-related travel. Coordinate travel costs and finalization of Travel Authorizations, reimbursements, and fiscal expenditures according to university fiscal policies.
  • Manages and executes a variety of special projects as assigned. Tasks may include conducting research, preparing reports and presentations as needed.
  • Contributes to the overall success of the University and Office of the President by performing other essential duties and responsibilities as assigned.

Required Qualifications
  • Bachelor’s degree from an accredited institution of higher education. Acceptable is an equivalent combination of education and qualifying professional experience that would provide the skills, knowledge, and ability needed to fulfill the duties assigned to the position.
  • 5 to 8 years of experience within a high-level, fast-paced C-suite environment
  • Expertise in Microsoft Office suite, particularly Outlook, Excel, Word, Teams and PowerPoint.
  • Must have proven ability to maintain or exercise considerable tact, judgment, and diplomacy while poise and a professional image at all times.
  • Ability to use discretion when dealing with sensitive, confidential materials
  • Proven ability in taking initiative while being strategic in decision making
  • Demonstrated ability to adapt to changing schedules or priorities and respond as necessary to manage completion of tasks and projects.
  • Have an acute awareness and attentiveness to detail on tasks, big and small
  • Flexibility to work evenings and weekends as needed.
  • Strong interpersonal skills with the ability to deal effectively with all levels within the University.
  • Excellent verbal and written communication and time management skills; proven ability to meet deadlines. Make appropriate, informed decisions regarding priorities and available time.

Salary for Announcement

The anticipated hiring range for this position is $89,000-$95,000

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
