Overview of Administrative Assistant
The College of Technology at Purdue University Northwest is seeking an Administrative Assistant. The Administrative Assistant will support the Computer Information Technology & Graphics (CITG) department. This position helps to ensure the efficient operations of the college and these offices in a friendly, organized, and efficient manner.
Salary consummates with the experience
Schedule:
- Monday - Friday, 8 am - 5 pm
- Maintain signature authority for purchases, duplicating orders, and outgoing mail expenses
- Prepare and process purchase requisitions, check requests, credit card transactions, travel requests and travel reimbursements using database software programs
- Order office and lab supplies for faculty and staff, maintain inventory of supplies
- Responsible for budget management, tracking and reconciliation of expenses
- Compose and type correspondence, analyze and prepare data for reports and other documents
- Maintain department records and files
- Prepare and process confidential payroll and human resource documents, such as contracts and employment forms for part-time instructors, graduate assistants and student workers
- Supervisory responsibility for student worker(s), including training and delegating routine tasks to standardize daily duties
- Assist student organizations with meeting planning and other requests
- Provide administrative support to the Head of Computer Information Technology & Graphics (CITG) Department, CITG faculty, staff and students
- Front office contact greets and assists office visitors, colleagues and students, and screens telephone calls in order to interpret and respond to inquiries
- Serve as liaison between the department and college, university and internal/external constituents
- Establish and communicate specific workflow procedures for the department office to ensure efficient daily operations
- Access course and student database systems to assist academic advisor and students with matters relating to schedules and classes
- Schedule appointments for academic advisor and students
- Responsible for academic facilities/classrooms and instructor scheduling, and textbook adoptions for instructors, using University software
- Coordinate meetings and events for faculty, staff, students, and activities related to external constituents
- Assist with accreditation activities, including collection of course materials and preparation of data for accreditation documents

Education of Administrative Assistant
- High school diploma/GED required
- Minimum of 4 years of experience providing administrative support required
- Experience in an academic setting, proficient knowledge of Windows-based programs and applications, and navigating databases a plus
- MS Word experience with mass mail merge
- MS Excel experience with basic formula entry
- MS Outlook experience entering appointments and group meeting notifications
- Ability to take initiative and prioritize to meet deadlines
- Must work well as part of a team
