Job Description Summary
The Contract Manager will be responsible for coordinating all aspects of the administrative management of license agreements, working closely with a number of key functional areas within the Penn Center for Innovation (PCI) throughout the full agreement life cycle. This position will serve as a liaison between the Penn Center for Innovation's internal teams and external partners, acting as a highly visible, effective, and efficient customer service representative to both internal and external constituencies.

The Contract Manager will facilitate collaboration within PCI to ensure seamless pre-agreement execution management including, but not limited to supporting completion of all required forms from inventors including assignments, participation agreements, and revenue distribution forms; review of agreements from third-party sponsors and providers to ensure Penn's compliance with its contractual obligations; and completion of the licensing checklist including troubleshooting any deficiencies.
This position will also ensure seamless post-agreement management following contract execution, including, but not limited to coordinating ongoing interactions between company and Penn's patent counsel, supporting invoicing for all license payments due, understanding key license agreement terms and obligations, providing information as needed in support of PCI's database management and compliance efforts associated with the federal government and other research sponsors.
Key responsibilities will include understanding the scope and obligations of complex license agreement, identifying and communicating with key contacts, and working with internal teams to ensure consistent and effective communication. This position will require facilitating the internal and external logistics necessary for the effective implementation of these agreements, and ensuring excellent coordination between internal teams and external partners at key points during the collaborative research term and/or licensing relationship, including the addition or removal of intellectual property rights, the expansion or contraction of research collaborations, and management of significant past due A/R balances.
As part of this role, the Contract Manager will actively contribute to the development and implementation of cross-functional operational processes and best practices to support the above mentioned efforts.
Job Responsibilities

- Facilitate collaboration within PCI to ensure seamless pre-agreement execution management including, but not limited to supporting completion of all required forms from inventors including assignments, participation agreements, and revenue distribution forms; review of agreements from third-party sponsors and providers to ensure Penn's compliance with its contractual obligations; and completion of the licensing checklist including troubleshooting any deficiencies.

- Facilitate proactive communication and coordination between internal teams and external partners at key points during the collaborative research term and/or licensing relationship (e.g., with the addition or removal of intellectual property rights, with the expansion or contraction of research collaborations, in the management of significant past due A/R balances, etc.)
- Understand and ensure Penn's compliance with its contractual obligations, generating, maintaining, and updating “roadmaps” for complex intellectual property portfolios associated with licenses including obligations to sponsors and co-owners, and conducting regular maintenance and updating of intellectual property exhibits for assigned agreements. Work across teams to ensure that PCI's commercialization database stays up to date with current agreements and obligations.
- Actively contribute to the development and implementation of cross-functional operational processes and best practices to support the management of these agreements. Ensure ongoing and consistent information flow between assigned departments and operational groups within PCI and at external partners.
- Support the finance team in revenue distributions pursuant to the Penn Patent Policy, including facilitating completion of income allocation forms from inventors and providing information as needed in support of these processes.
- Perform additional duties as assigned.
Qualifications
- Bachelors degree and 3-5 years of experience or equivalent
combination of education and experience required.
Preferred Qualifications:
- Degree in science, law or finance.
- Experience managing grants.
- Experience managing or negotiating contracts, particularly license agreements.
- IP or Agreement related Paralegal experience.
- Database experience, ideally working with a technology management database such as Minuet.
Required Skills:
- Excellent attention to detail.
- Organized with exceptional time management.
- Excellent verbal and written communication skills.
- Experience working with multiple parties, managing relationships and delivering excellent customer service.
