Position Summary: The Administrative Specialist is responsible for providing administrative support for School of Business directors, Associate Dean, faculty and office reception for the School of Business (SOBU).

Essential Functions:
• Process applications upon receipt in the SOBU Office using the appropriate software program, (CollegeNet.) Enter application decisions into the graduate admissions (Excel) spreadsheet in the shared folder. Send student applications to the MBA and MAcc Directors for admission review. Review applications for BBA Admission to the SOBU and for Minors Certificates in Business to verify applications are complete. Work with applicants to obtain missing information and send letters of verification when applications are approved.

• Assist the MBA and MAcc program Directors with resolving graduate student holds and other enrollment issues, including the addition of enrollment overrides.

• Establish, update, and maintain a database of student files/records to provide reference and facilitate tracking and reporting of student information and undergraduate and graduate progress. Review materials for completeness and follow up with students as needed to obtain missing documentation and ensure files are complete.

• Generate correspondence to inform students of their status, documentation needs, their acceptance or denial into the undergraduate and graduate programs, test results, scholarship awards, declaration of major, or about other important information as directed or as needed.

• Respond to inquiries and requests for assistance and/or information relative to the student programs as they are received to ensure understanding and provide general assistance to students, the public and others who contact the office.

• Assist with preparing and organizing documentation for all new adjunct hires.

• Work with professors and other appropriate campus departments to obtain textbook orders for each semester following university and department procedures.

• Responsible for tracking and maintaining the appropriate files on students whose transcripts, progress to degree, or graduation requirements are being reviewed by the associate dean or other department faculty.

• Develop a schedule of faculty office hours, posting the notice of each faculty member’s office hours to advise students of their availability.

• Schedule appointments as needed for directors and the Associate Dean. Provide administrative support to the Washburn Chapter of Beta Gamma Sigma, and the School of Business Events and Communications Coordinator as needed or as requested. Create event programs and e-invitations in coordination with the SOBU Events and Communications Coordinator.

• Perform additional job-related duties as assigned or as appropriate.

Required Qualifications:
• High school diploma, GED, or equivalent. One year of full-time equivalent work experience or relevant education or a combination of relevant education and experience equal to one year of full-time work experience.
• Proven effective interpersonal, organizational, time management and communication skills.
• Demonstrated ability to maintain confidentiality of sensitive information.
• Proven experience using spreadsheets, publishing and word-processing software.
Preferred Qualifications:
• Demonstrated experience using Ellucian Banner, Argos, CollegeNet, Microsoft Excel, Outlook, and Word.
