Position Purpose

To support the administrative, financial, and logistical functions of the Earth Sciences program and perform a wide variety of departmental activities that will increase efficiency, expedite and coordinate the work of others, and ensure the smooth operation of the program.


Required Qualifications - Education and Yrs Exp

Bachelors or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities

• In-depth knowledge of office procedures
• Accuracy and attention to detail
• Strong organizational skills
• Ability to work independently towards program goals
• Proficient with basic computer software applications (i.e., Word, Excel, etc.)
• Strong interpersonal skills
• Ability to juggle multiple tasks
• Ability to follow-up and follow-thru with ongoing projects/issues
• A knowledge of basic bookkeeping

Key Accountabilities


General Departmental Support
• Assists in the support of every day departmental functions
• Submits financial documents (travel reimbursements, Pcards, POs, etc.) for processing
• Sorts and distributes department/office campus and USPS mail
• Assists with departmental FedEx and UPS shipping as needed
• Maintains inventory and orders office supplies as needed
• Works with vendors to maintain office support systems (e.g., copiers, printers)
• Prints and binds departmental materials
• Schedules the use of department vans and assists in facilitating van maintenance with local service centers
• Assists with support of field equipment for the department’s off-campus program

• Responds to inquiries, internal and external, and provides information within established guidelines or refers to appropriate individual to address the needs of inquiry
• Communicates respectfully with a diverse community

Information Management
• Assists with the filing of department documents in accordance with established procedures
• Assists with records management and storage of department files
• Assists in the maintenance of department files, databases ( ORC, department directory information), department social media, and department website

Schedule and Event Coordination
• Assists in the coordination of major recurring department activities including those with related departments, external participants, etc.
• Assists in the coordination of events and functions including guest itineraries, room reservations, invitations, food and expense management, etc.
