Position Purpose
Discover an amazing opportunity to work in Arts Administration at the Hopkins Center for the Arts, a nexus of creativity in the Upper Valley. Working in the Director’s Office, this position will gain exposure and work with a collaborative team of creative professionals who believe in the power of the arts to transform lives. Reporting directly to the Manager of Strategic Initiatives and Belonging, this position ensures the smooth and efficient operation of the Director’s office as well as providing high-level support to the Howard Gilman ’44 Executive Director.

Required Qualifications - Education and Yrs Exp
Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
- 2-3 years of experience supporting a high-level executive.
- Excellent interpersonal skills and ability to deal articulately with a diverse range of people.
- Strong organizational skills and ability to balance priorities and meet deadlines.
- Initiative, sound judgment and ability to work independently.
- Strong writing, detail editing and proofreading skills.
- Technologically savvy in the use of computers, applications, databases, tablets and smartphones.
- Availability and willingness to work occasional weekend and evening assignments.
- Commitment to diversity and to serving the needs of a diverse population.
- Adept at handling confidential information with excellent judgment and discretion.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams), Adobe Acrobat, Zoom and cloud-based applications.
- Flexible, creative, self-motivated and willing to work extended hours on occasion.
Preferred Qualifications
-Keen interest in the arts.
-Student staff supervision experience.

Coordination and Administrative Management
This role serves as the first point of contact for the Hopkins Center Director’s Office as it relates to directing inquiries and monitoring communication. The coordinator supports the Manager of Strategic Initiatives and Belonging as well as the Senior Development Manager in implementation of initiatives and projects that may include logistic planning and execution. May manage, track and/or coordinate calendars, deadlines, pending items and follows up with appropriate contacts to ensure consistent and efficient workflow and completion of tasks in a timely manner. Anticipates and proactively manages preparation and follow-up for meetings, events, and programs. Participates in staff and business development meetings, takes minutes, and ensures timely and accurate dissemination of information and follow-up. Provides support through data entry, accuracy and integrity of internal and external data and information.

Executive Administrative Support
The Administrative Coordinator manages the day-to-day operations of the Director’s office with oversight of the Executive Director’s schedule. This role provides the Executive Director with a first line of communication for all internal and external stakeholders, including all levels of Dartmouth College as well as the national and international performing arts field. Supports meeting and event organizing including logistics, communication, preparation and distribution of relevant documents as well as note taking and meeting follow up. Responsible for organizing business and development travel including travel booking, detailed itineraries and expense reconciliation on behalf of the Executive Director and relevant guests. Duties may include planning and organizing of special events; data entry; preparing correspondence, lists and other administrative support related tasks. Provides technical support for the Director or arranges for special tech support, including upgrades for software applications as well as coordination of technology within the Director’s Office. Provides a bridge for smooth communication between the Executive Director and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff. May manage or supervise student assistants, including training in data entry and general office duties.
