Job Summary

Rhode Island School of Design (RISD) seeks an Administrative Assistant to join the Office of Student Affairs. The Administrative Assistant, Student Affairs performs a wide variety of administrative duties in support of the Vice President for Student Life and Engagement (VPSLE) and the Associate Dean of Students (ADOS) in the Office of Student Affairs. Manage the calendars and provide administrative support to the VPSLE and ADOS and serve as the initial point of contact for internal and external divisional inquiries; answer routine questions regarding standard policies, procedures, and events; and refer inquiries to campus departments and staff as appropriate. Leverage systems, technology, and tools to ensure optimal administrative ease and efficiencies. Update and maintain confidential database records, paper files, and website materials to reflect accurate information. Maintain a high level of confidentiality and professionalism. Generate, maintain, and process forms, documents, reports, minutes and agendas. Ensure that student staff are available to greet visitors to the central Student Affairs office. Order office and general supplies. Hire, schedule, and oversee student-workers and approve time records as appropriate.

Essential Functions:
  • Demonstrate high level of sensitivity to the variety of constituents who contact the Student Affairs office, serve as a central point of contact for visitors, e-mail, and telephone inquiries made to the division. Screen and answer questions providing accurate information, offer general assistance, and escalate/refer as appropriate.

  • Provide daily administrative support to the Vice President for Student Life and Engagement and the Associate Dean of Students. Manage calendars, provide project support, and take meeting notes as needed.

  • Generate, compile, create and edit a wide variety of student affairs related documents, reports, correspondence and information in a visually impactful/insightful manner to meet informational needs of the student affairs department and division.

  • Exercise sensitivity, collaboration with team members and campus partners and confidentiality while performing a wide variety of administrative duties, including preparing meeting minutes, reports, charts, agendas, and correspondence. Manage appointment calendars and travel arrangements for the VPSLE and ADOS.

  • Maintain and order divisional supplies and stock as needed. Complete check requests, purchase orders, and expenses.

  • Hire, supervise and assign tasks to student-workers. Verify and process time records.

  • Plan, organize and complete logistical arrangements for a variety of events and activities as assigned by VPSLE and ADOS, including but not limited to meetings, dinners, professional development opportunities, receptions, and community building socials/sessions.

  • Manage Conference Room 104 scheduling and various meetings and events.

Required Knowledge/Skills/Experience:
  • Committed to and has the ability to articulate the importance of diversity in an institution of higher learning and society.

  • Demonstrated knowledge of and experience with Mac or PC computers and computer software,including Microsoft Office (i.e. Word, Excel), databases, content management systems such as Maxient and WorkDay, and web browsers.

  • Ability to be proactive, resourceful, and work independently within parameters of the role.

  • Be a self-starter and have a solution-minded approach to projects and initiatives

  • Associate degree, or equivalent combination of education and experience.

  • At least one year of experience in an administrative support position with access and exposure to sensitive and confidential information

  • Experience in an academic environment.
