Position Summary:
The University of New Mexico Board of Regents is seeking a dynamic professional to serve as Secretary to the Board of Regents. Reporting to the President of the Board of Regents, the Secretary to the Board oversees all operational, strategic, and administrative matters for the Board of Regents and handles a wide range of issues on behalf of the Board. Provides coordination and oversight in the development and management of Board policies, agendas, schedules, records, and activities. Serves as the primary point of administrative contact between the Board and university administration, working to ensure effective communication, collaboration, and coordination among Board members, University administrators, faculty, staff, students, public officials, and community members.

  1. Serves as principal strategic and staff support to the Board of Regents, directly managing all day-to-day operational matters, often related to complex and confidential issues, on behalf of the Board; provides support to the Board in dealing with a range of issues, as appropriate.
  2. Plan, organize, and coordinate all Board of Regents meetings and committee meetings, including agenda preparation, materials distribution, legal requirements and logistical arrangements in collaboration with university administration. Serves as coordinator for all Regents' activities.
  3. Schedules, organizes, and coordinates all Board of Regents functions and events; coordinates attendance of Regents at University and community functions, as well as state and national higher education conferences and workshops, as requested.
  4. Oversees, as needed, the development, implementation and maintenance of policies, procedures and bylaws of the board of Regents and related entities; communicates policy updates verbally and in writing through designated channels. Coordinates with Board and key parties to ensure compliance with Board of Regents policies.
  5. Serves as liaison between the Board and the Office of the President; coordinates and integrates the activities of the Board with the Office of the President; coordinates communication between the Board and other senior officers of the University, as well as external stakeholders, such as legislators, donors and alumni.
  6. Serves as point of contact on operational and administrative matters for internal and external constituencies, including faculty, staff, student governance groups, and the community at large; prepares responses on behalf of the Board, as appropriate.
  7. Oversees all facets of the day-to-day administration of the Board of Regents, ensuring compliance with university policies, operating agreements, state and federal laws and regulations and good governance practices (including accreditation requirements.)
  8. Provides guidance, advice, and support to the Regents on matters of governance, policy, and best practices. Collaborates with University Administration and the Board to gather, research, and analyze, information affecting University-wide, intradepartmental, or interdepartmental operations.
  9. Researches, monitors and prioritizes incoming issues, including state and national legislative matters. Coordinates Board briefings on critical issues and recommends/facilitates appropriate course of action, referral, and/or response.
  10. Maintains a Board website and all formal records and archives for the Board of Regents. (This may include a board portal, board dashboard and related infrastructure as determined by the Board.)
  11. Coordinates special projects on behalf of the Board of Regents, as assigned.
  12. Facilitates Board member orientation and training about their roles and responsibilities, ongoing professional development, and provides information on current issues and trends in higher education governance.
  13. Supervises Board of Regents Office, including recommendations for hiring, performance evaluation, training, work allocation, and problem resolution. In consultation with the Board of Regents, recommend staffing structure and budget allocations for the office.
  14. Performs miscellaneous job-related duties as assigned by the Chair of the Board of Regents.
  15. Assists in the development of the Board's annual board self-evaluation per AGB or similar best practices. Assists the Board Chair in coordinating the annual review of the University President.

Conditions of Employment:
Employees in this job title are subject to the terms and conditions of an employment contract. Employment contracts are typically subject to review and renewal on an annual basis.
Work odd hours including weekends, as needed.
Work may, on occasion, involve travel and overnight stay.

Minimum Qualifications: Bachelor's degree; at least 6 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
