Job Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Grants Specialist to promote our Catholic Franciscan mission and identity by preparing and/or managing all grant requests (foundation, corporate, and federal) and reports submitted by the university.
Under the direction of the Vice President of Grants Management and in collaboration with the Assistant Provost for Research & Scholarship, the Grant Specialist is responsible for ensuring compliance with sponsored agency programmatic policies, guidelines, rules, and regulations. Provides technical assistance and support to externally-funded programs, facilitates the post-award process, and monitors post-award compliance. Disseminates information related to awards and contract fulfillment activities and supports reporting activities. The position will heavily manage projects with the Center for Vibrant Schools, the City Connects Midwest Technical Assistance Center, the National Science Foundation, and the National Institutes of Health to ensure grant management documents, procedures, and implementation are executed efficiently, on schedule, and in a manner consistent with best practices.

Essential Duties and Responsibilities:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Facilitates awarded grants and sponsored program administration activities. Ensures timelines are met and disseminates relevant information to staff, faculty, and administrators.
  • Subaward monitoring: review expenses submitted on invoices by sub-awardees and authorize payment; communicate with sub-awardees regarding expenses, agreements, and contract requirements; additionally, advise PI on procedures for engaging external contractors/consultants and facilitate forms for approval and signature
  • Interprets and ensures compliance with agency rules, regulations, and guidelines. Assists principal investigator/program director in award compliance.
  • Assists with grant orientation for new principal investigators/project directors and deans on policies, forms, and procedures required for sponsored projects.
  • Assists with preparing reports for funding agencies in conjunction with the principal investigator/program director and Finance Office.
  • Reviews and prepares information and reports for internal and external stakeholders. Edits and organizes grant documents written by other staff and faculty—researches related information and data.
  • Establishes calendar of reporting and closeout reminders for grants and sponsored programs and reminds principal investigators/project directors of reporting deadlines.
  • Acts as the compliance point of contact for all assigned projects, provides training and develops training materials, guidance, and advice to program staff on compliance issues and questions.
  • Informs principal investigators/project directors of any compliance issues regarding grantor agency regulations and disallowances with their program—assists in correcting discrepancies and monitors corrective actions.
  • Works as a team with members of the Office of Grants Management and Office of Sponsored Programs & Research in performing grants office activities.
  • Performs document closeout of awarded projects.
  • Maintains necessary records, files, reports, databases, and resource materials pertinent to activities.
  • Performs other duties as assigned.

Required Qualifications

Required Qualifications:
  • Bachelor’s degree in a related field or military equivalent.
  • Experience with grant management, writing, and reporting.
  • Exceptional verbal and written communication skills to effectively interact with all levels of management, faculty and staff, and departments.
  • Ability to prioritize and multi-task in a fast-paced environment with minimal supervision
  • Ability to swiftly respond to multiple demanding situations and switch gears quickly
  • Outstanding interpersonal and organizational skills, with strong attention to detail
  • Excellent computer skills, including proficiency with Microsoft Office, internet research, and accurate typing skills
