Administrative Assistant, Enrollment Management and Academic Affairs

Job responsibilities:

The Citadel, The Military College of South Carolina is accepting applications for an Administrative Assistant for Enrollment Management and Academic Affairs. Will be responsible for providing administrative support for the Associate Provost of Enrollment Management and Associate Provost for Academic Affairs. Develops and extracts, monitors, and analyzes reports from institutional systems: Cognos, Banner, related to enrollment, retention, financial data. Conducts research on enrollment and retention related issues as requested by the Associate Provosts. Supports employee searches run by the Provost's Office. Orders supplies, equipment, or other items needed for the division.

Manages Associate Provosts budgets, including tracking the annual spend plan, reconciling accounts and reporting outstanding balances. Create and Track Invoices for joint degree programs. Manages and Balances P-Card. Coordinates student travel, including Graduate and Undergraduate grants, Veteran Student Association, and other student groups. Coordinates with members of the Provost Office and Finance Office to resolve any disputes, questions, or concerns, as well as participating in any training offered by the institution.

Coordinate meetings and other administrative tasks for the Associate Provosts. This also includes follow up tasks and assisting the Associate Provosts in launching various projects and initiatives such as the academic catalogs. Supports division-wide position searches. Assists in planning and execution of commencement exercises and other special institutional events.

Skills needed:
  • Accuracy of dates for meetings, locations identified, parties involved contacted.
  • Maintains high ethical standards and principles consistent with Citadel core values. Provides efficient administrative oversight of divisional operations.
  • Accurate planning and accounting of budget and regular updates on line items as well as suggestions and input regarding efficiencies that can be used to reduce divisional expenses.
  • Maintains a can-do attitude; acts and makes decisions based on common sense and sound reason; pursues goals until attained or no longer reasonable to attain.
  • Accomplishes commitments on time; initiates actions to accomplish requirements; responds constructively to challenges.

Minimum Qualifications:

Must have a Bachelor's degree and progressive experience working as an administrative assistant. Expertise in ERP systems like Banner as well as Microsoft Office is essential. The ability to problem solve in a dynamic and fast-paced environment, along with the ability to and experience with working independently in completing special projects is required.

Preferred Qualifications:

Previous experience supporting top-level executives and professionals. Previous experience working as an administrative support staff in higher education.
