Job Description Summary
Responsible for providing administrative support to the Dodge College Film and Media Arts Production Management Team. Works under the direction of the Production Manager to coordinate pre-production and production workflow processes for student projects. Ensures that Dodge College policies and proper safety procedures are followed for these projects. Process financial and insurance requests as needed. Maintains constant communication and works closely with faculty and other production and technical staff to provide necessary support to student productions. Assists in the development and improvement of procedures and functions of Dodge College to improve student satisfaction. Provides additional support to the Production Manager as needed.

Responsibilities
Coordinate and Supervise the Pre-Production and Production Processes
- Oversee the greenlight process for approving designated projects to initiate production
- Process insurance and financial paperwork
- Monitor compliance with SAG - AFTRA signatory process and film permitting process
- Communicate production and safety policies to students and faculty
- Review scripts to identify safety and logistical concerns
- Provide guidance on industry standard safety protocols related to stunts, driving sequences, fire and prop weapons
- Assist in the creation of the annual Camera Inventory/Production Schedule for Advanced Productions and class exercises
- Coordinate equipment needs for all class exercises; work with key stakeholders to establish appropriate equipment packages based on class needs
- Archive annual production information, including final master crew lists for advanced productions, signed partnership agreements, and the master budget list tracking all discretionary and award money
- Work with faculty to organize group assignments
- Oversee completion of Safety Test by students enrolled in introductory production classes each semester and report results to faculty
- Process insurance certificates
- Process and provide administrative support to secure film location requests and permitting
- Schedule and take minutes in Production Staff Meetings and Super Production Committee Meetings
- Assist and provide additional support to the Production Manager, as needed
- Provide backup support to the Production Management staff
- Track student production proposals and completion paperwork
- Assist with planning production related workshops, training, and related production management events, as needed
- Other duties as assigned
- Bachelor’s Degree or equivalent combination in education and experience in Film and TV, or related field, or equivalent combination of education and experience
- 3-5 years previous industry work experience in professional physical production atmosphere
- Knowledge of current production standards with the ability to breakdown scripts and analyze shooting schedules and budgets
- Ability to prepare financial reports and reconcile expenses
- Working knowledge of professional film and video production equipment
- Ability to exercise high level of initiative and work independently
- Self-motivated and proactive in carrying out research and solving problems
- Strong analytic and critical thinking skills to identify problems and anticipate the impact to office administration problems, providing solutions as needed
- Demonstrated commitment to working in a collaborative, customer service environment
- Strong organizational skills to maintain office files, schedule, calendar and coordinate logistics for meetings and related events
- Demonstrate written and oral communication – including solid editing, proofreading skills
- Ability to maintain careful attention to detail and accuracy while working on multiple projects and meeting deadlines
- Proven computer skills and good working knowledge of Microsoft Office Technical skills to learn and use enterprise and departmental tools and systems related to the position
- Excellent interpersonal skills with a diverse group of individuals at all organizational levels both inside and outside of the university
- Ability to use tact and diplomacy and maintain a high level of confidentiality
- Ability to carry out tasks and prioritize, when faced with interruptions, distractions and a fluctuating workload
- Proven ability to exercise judgment and carry out duties in a timely manner
- Previous work at a higher education institution
- Knowledge of industry standard budgeting and scheduling software including EP/Movie Magic Scheduling, MM Budgeting or similar motion picture/television production scheduling and budgeting applications
