GENERAL SUMMARY:

The Program Manager, Student Life and Program Operations, provides professional support in the implementation and administration of students’ academic and co-curricular activities and in the facilitation of faculty’s teaching in the Chicago Executive MBA Program. The incumbent ensures that the Chicago Executive MBA Program operations run smoothly and efficiently.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Initial point of contact for most student, faculty, and non-EMBA staff needs. Incumbent is “the face” of the Student Life and Program Operations team. Responsible for broad knowledge of Booth and global EMBA Program, in addition to specifics of Chicago EMBA.
  2. Manage the airport transportation process for students which includes managing the RFP process, contract negotiations, and managing the actual bus process on which students’ timely arrivals and departures are dependent.
  3. Oversee the global sourcing and distribution of student textbooks and course materials, which includes the management of an external shipment vendor, tracking the delivery process throughout the US, and resolving delivery mishaps.
  4. Assist with coordination and preparation for flagship student events including Kick-Off Week, Electives Weeks, and Graduation, for which students travel to Chicago from around the world.
  5. Manage the course examination process for faculty, which includes processes to mitigate the likelihood of cheating. This includes all exam preparation, seating charts, and coordination with proctors.
  6. Support and participate in student-focused networking events.
  7. Create contracts for student events. Ensure prompt payment of invoices.
  8. Manage program operations including, but not limited to ordering supplies, handling maintenance requests, and ensuring daily office coverage.
  9. Create, maintain, and update intranet and Canvas sites. Create and manage all email list serves for students.
  10. Support faculty needs on class days.
  11. Coordinate special projects or tasks assigned by the Student Life and Program Operations team.

 

KNOWLEDGE, SKILLS AND EXPERIENCE:

  1. Bachelor’s degree required.
  2. A minimum two years in an administrative, customer service, or other position with similar responsibilities required.
  3. Excellent interpersonal, oral, and written communication skills required.
  4. Ability to handle sensitive and confidential situations and information with absolute discretion required.
  5. Ability to maintain calm and courteous demeanor and to work productively despite heavy workload, competing priorities, complex problems, and/or tight deadlines required.
  6. Considerable skill in working both independently and as a team member required.
  7. Ability to take initiative, problem-solve, organize, and complete projects with minimal supervision required.
  8. Ability to use appropriate resources to resolve an issue and follow through to its resolution required.
  9. Proficiency with MS Office package (Outlook, Word, Excel, and PowerPoint) and databases required. Ability to build spreadsheets and manipulate data to record and track data.
  10. Ability and willingness to work some evenings, every other Saturday, and occasional Sundays required.


Typical weekly schedule:

Class Week:
M-Th* 9:00am – 5:00pm *(one of these days is an off day)
F 8:00am – 5:00pm
Sat 8:00am – 5:00pm
           

Non-class Week:
M-F 9:00am – 5:00pm
