Coordinate all aspects required for planning, marketing and
presenting events that are administered through the Kummer Center
for STEM Education. Communication with schools and parents is an
essential part of this job. Responsible for seminars, short
courses, summer camps, and K-12 activities. Provide assistance and
support to the assistant director of summer camp operations and
staff in conducting University business and procedures. Help keep
department running smoothly and give assistance as needed.
Contribute to the overall strategic goals of the Kummer Center
for STEM Education.
Assist the STEM Center staff by coordinating and updating the
calendar, organizing and facilitating meetings with both on campus
and off campus visitors, keeping and maintain the calendar, making
travel arrangements, reserving meeting rooms, requesting special
equipment as needed.
Serve as the Kummer Center for STEM Education’s main point of
contact and liaison for internal and external constituents,
including schools, parents and educators.
Research and gather information to organize data and prepare
complex reports, presentations, and summaries of various
Use database, work and spreadsheet programs to manipulate data.
Previous knowledge of Slate is a plus.
Compose and edit a variety of types of correspondence,
including social media.
Overseeing and/or ordering supplies and office equipment,
process requisitions, vouchers and related documents.
Perform accounts payable including processing payment vouchers,
travel reimbursements, hotel payment, purchase orders, and print
orders as appropriate for each unique event
Coordinate, assign, mentor, and supervise student workers
Greet and provide assistance and information to departmental
visitors, request equipment and/or building maintenance and keep up
the overall appearance of the office and facilities.
Maintain PCI credit card compliance processes and procedures
relative to acceptance of eCommerce or in-person collection of
credit card transactions. Periodic travel may be required to
regional locations. Support provided for on-site registration and
participants during event. Non-standard hours are required during
event dates. Heavy workload May-July.
Support programs/events specifically assigned or managed within
the Kummer Center for STEM Education to include ordering supplies,
room setup, gathering materials for participant packets, assembling
materials, and creating payment receipts, certificates, etc.
Provide general office support such as answering departmental
phone and monitoring department’s email and social media. Support,
mentor and assist other team members within the department.
Identify, negotiate and secure appropriate venue and space (off
and on-campus); Prepare facilities contracts and other legal
documents associated with events
Update/maintain various databases of inquiries, participants or
companies, mail/email or other contact information for utilization
in marketing future offerings.
Prepare estimated budgets with anticipated revenue/expense,
market strategy and provisions; Suggest fees for multiple events
presented (off and on-campus to the Director); market registration
fees; estimate attendance, costs, etc.
With approval of director, identify, negotiate and secure
appropriate venue and space (off and on-campus); Prepare facilities
Coordinate requirements of individual events (i.e.,
advertising, print/electronic), web content, acquisition of
materials/equipment, signage, participant materials,
Supervision of educational activities. Serve as the first point
of contact for parents.
With approval from director, monitor ongoing revenue and
expense activity as it compares to budget planning - adjust event
details as required.
Coordinate development of market materials, identify relevant
audiences, produce mail and electronic communications.
Collaboratively develop and analyze evaluation strategies such as

equipment. Will use Zoom, Panopto, Canvas, Kaltura, Qualtrics,
Microsoft suite and Google suite, and other software delivery

related to STEM Education.
Participate in ongoing market research and professional
development for new topics, audience groups or program
Assist with on-site registrations for various K12 activities,
including field trips, after school activities, STEM Van visits,
community activities, summer camps, etc.
Performs other job-related duties as assigned.
A Bachelor's degree or an equivalent combination of education and
experience and at least 2 years of experience from which comparable
knowledge and skills can be acquired is necessary.
